Definition of Class

This position coordinates, plans, executes and manages ERP-related information technology projects across campus from user requirements development through configuration and final implementation.  Working with the Project Encompass ERP Steering Committee and appropriate systems vendors, the incumbent establishes and implements detailed work plans; develops and defines project scope and objectives; identifies and secures technical resources and funding; and ensures project deliverables meet technical requirements and university policy and procedures. 

Up to three-year assignment supporting the campus-wide initiative, Project Encompass . 


Examples of Work Performed
  • Works with Project Encompass ERP Steering Committee and project team members to gain understanding and knowledge of project objectives and requests.
  • Participates actively in regular Project Encompass ERP Steering Committee meetings, as necessary.
  • Escalates information, decisions, and risks to the ERP Executive Sponsors, as necessary.
  • Champions the Project Encompass ERP project to the campus community.
  • Develops and documents project plans outlining project objectives, goals, plans, requirements, proposals, estimates, schedules, and budgets.
  • Ensures estimates of time, cost, performance level, and materials are accurate and meet project requirements by gaining necessary approvals.
  • Makes modifications to project plans and schedules as necessary.
  • Tracks work assignments and directs and coordinates activities and associated follow-ups.
  • Projects, plans, and documents possible project risks based on organizational strategy and goals.
  • Provides necessary training on project objectives, processes, and details.
  • Monitors project status and ensures adherence to schedules, budget, requirements, and deadlines.
  • Maintains and updates project documentation and communicates progress to the Project Encompass ERP Steering Committee and Executive Sponsors. 
  • Manages issues as they arise and communicates changes that impact scope, timeline, or budget.
  • Ensures project deliverables meet technical requirements and quality standards.
  • Negotiates on behalf of the project team in resolving vendor issues and leveraging vendor product expertise and in requesting work change orders with vendors as needed.
  • Ensures compliance with University policies and procedures and with the Project Encompass Guiding Principles.
  • Serves as a liaison to external agencies and other administrative departments.
  • Conducts and leads project team meetings to ensure schedules and expectations are met.
  • Creates, maintains and leads collaborative sessions between stakeholders.
  • Performs similar or related duties as assigned or required.

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring Department.
1. Manages and executes information technology projects.
2. Defines project scope and objectives.
3. Develops project plan, oversees budget, and manages risks.
4. Provides guidance and supervision to project team.


Minimum Education/Experience

Education:
Bachelor’s Degree from an accredited college or university.

AND

Experience:
Three (3) years of experience related to the above described duties.

Substitution Statement:  Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
