Job Description
The Meruelo Family Center for Career Development (CCD) staff operates one of the largest career center facilities in higher education. Events and interviews are core elements of a career development program. The CCD’s centralized service-delivery model and facilities make this possible.
The Interview Center and Event Services Manager plays an important part in executing the University of Notre Dame’s on-campus recruitment program, including management of the 5th floor of Duncan Student Center. The Manager is charged with ensuring the University provides an unparalleled recruiting experience for all alumni and employer representatives visiting campus for interviews, career fairs, and special events.
The Manager also coordinates the CCD’s Career Assistant operations program, overseeing more than 25 student employees in a variety of roles, working 6 days per week until 11PM nightly. As such, this position includes frequent evening and weekend time commitments online and in-person.
The Manager collaborates across all functions of the Career Development team to provide a world-class career development program by providing logistical guidance, support, and execution.
Specific responsibilities include:
EVENT COORDINATION
Utilize specialized knowledge of campus, procedures, and relationship hierarchy to assign spaces, provide appropriate on-site coverage, and provide recommendations.
  • Establish protocol for CCD staff-coordinated and employer events to be managed at a professional level. Guests for these events range from recruiters to senior executives and major benefactors of the University.
  • Provide leadership, planning, and execution of fall and spring semester career fairs. Consult with CCD staff and campus partners for career development signature events, networking events, information sessions, and other special events. Coordinate food orders, room setup, signage, and hospitality for CCD events.
  • Provide on-site support to ensure successful events (this includes interaction with students, alumni, recruiters, and senior executives). On-site support includes evening and some weekend commitments. Set up and troubleshoot technology at events, with the goal of preventing issues before they arise.
  • Collaborate with Duncan Student Center, Registrar, UEE, and other campus partners to explore uses of other venues for special events that cannot be hosted on the 5th floor.

VENUE MANAGEMENT
The Manager is accountable for the overall use of the 5th floor of Duncan Student Center, which includes:
  • Scheduling of 45 reservable interview, conference, and training rooms.
  • Testing virtual interview and presentation room technologies and providing on-site support and troubleshooting for guests.
  • Ensuring that all desk shifts are staffed appropriately and covered by student employees. The Manager will cover open shifts, as needed, including nights and weekends.
  • Serving as a liaison to Duncan Student Center and Stadium Facility Operations staff.

STUDENT EMPLOYEE SUPERVISION
Hire and train a team of 25 student employees who provide operations (greeting guests, answering phones, replying to emails, reserving rooms, unlocking/locking interview rooms, setting up and troubleshooting technology, etc.) and on-site hospitality at events. The Manager will balance operational needs, while also creating a student development-based student employment program.
SPECIAL PROJECTS AND OTHER DUTIES AS ASSIGNED
Perform other duties as assigned by the Associate Director and Career Development Leadership Team to ensure the success of the CCD, the University, students, and other stakeholders.
Minimum Qualifications
  • Bachelor’s degree required
  • 3-4 years of transferable experience
  • Strong interpersonal skills, friendly demeanor, and ability to interact with others tactfully and professionally

  • Creative and innovative mindset to solve problems
  • Excellent communication skills – both written and verbal
  • Proven ability to organize and manage multiple priorities and projects
  • Excellent organizational and planning skills
  • Demonstrated ability to independently prioritize work, handle multiple tasks simultaneously, set goals and enforce deadlines, while maintaining the flexibility to reassess and prioritize goals.
