Position Overview

KU Housing Administration is searching for an Associate Director, Business & Strategic Initiatives in Housing & Residence Life (HRL).  This position is only open to current Housing staff as well as other current KU employees. The Associate Director, Business & Strategic Initiatives in Housing & Residence Life (HRL) is member of the Executive Director’s senior leadership team and is responsible for strategically managing both internal and external priorities. Key to this position are four things: 1) project management and oversight of strategic initiatives to advance Housing & Residence Life priorities; 2) human resources, including regular communication with KU Human Resources and Shared Service Center staff, supporting HRL in hiring procedures, departmental on-boarding, and annual completion of trainings and evaluations; 3) leadership for scholarships and stewardship for all HRL funds held with KU Endowment; and 4) business and administration, including partnerships with external offices and interests to advance HRL goals and create efficiencies.

Housing & Residence Life is home to over 5500 students on the Lawrence campus in residence halls, apartments, and cooperative houses known as scholarship halls. Job Description

40%    Project & Strategic Initiatives Management

  • Coordinates projects and strategic initiatives involving Housing & Residence Life, serving as a point of contact when multiple areas/stakeholders are assigned to the same project to ensure team actions remain in synergy.
  • Assists in the definition of project scope and goals, aligning initiatives to departmental and other KU strategic priorities.
  • Creates long- and short-term plans, including setting targets for milestones, adhering to deadlines and resource allocation, and evaluating  processes for organizational efficiency and improvement.
  • Delegates tasks on the project to staff best positioned to complete them.
  • Identifies and manages potential risks and liabilities of multiple projects.
  • Guides tactical and strategic planning sessions, create summaries and/or presentations, monitor and report on progress.

20%    Human Resources
  • Serves as HRL representative to Human Resources and Shared Service Center.
  • Administers and oversees all staff hiring, appointment changes, job postings, disciplinary actions, and employment concerns on behalf of the Executive Director.
  • Manages job descriptions, job postings, search committees, candidate assessment processes, and all HR related forms.
  • Oversees onboarding for new full-time employees to Housing & Residence Life.
  • Advocates for employees who have interoffice, professional, or personal difficulties to find solutions and makes appropriate referrals.
  • Disseminates HR-information to HRL staff, including health insurance updates and deadlines, employee benefits updates and deadlines, performance management goals, and personnel safety, security, and other training deadlines.

20%    Stewardship and Scholarship Support
  • Oversees all aspects of recruiting applicants, coordinating review committees, and awarding of over $400,000 in scholarships annually to on-campus students.
  • Engages with alumni and donors to create strong ties between scholarship hall recipients and their benefactors.
  • Plans and directs outreach efforts to donors, including development of marketing, outreach, and stewardship materials in advance of personal visits/meetings.

20%   Business & Administration
  • Supervises 1-3 full-time staff to who support and assist with the Associate Director’s areas of responsibility.
  • Prepares contract and memorandum of understanding (MOU) specifications and requirements, participates in negotiations, and monitors terms and conditions for approved contracts for service.
  • Develops and implements the Housing & Residence Life response to system implementation or re-implementation for financial and business upgrades and/or changes to process and procedures.
  • Serves as primary point of contact for contracts and partnerships, such as those with RMS Mercury/StarRez, Apogee, College Pads, and master leases or MOUs for additional housing spaces.
  • Serves on Student Affairs or campus-wide work groups or task forces as assigned. Represents Housing & Residence Life on behalf of senior leadership as necessary.
  • Other duties as assigned.

Required Qualifications

  • Bachelor's degree and five years related experience OR master’s degree and three years related experience.
  • Two years management, supervisory experience, and/or project team leadership.
  • Experience managing human resources related duties as evidenced by application materials
  • Excellent written communication skills, as evidenced by application materials.

  • Preferred Qualifications

  • Experience working in a university setting.
  • Experience reviewing and assessing the effectiveness of processes and initiatives for improvement.
