As a One University position, the Intake Specialist will be responsible for conducting intakes, analyzing data, and performing outreach across the university system. The ideal candidate will have competency in both interpersonal and data management skills. The position requires the successful candidate to engage in difficult conversations (intakes, presentations, and public facing events) with tact, empathy, and in responsive and adaptive ways to meet the audience's’ needs. Additionally, the position requires the successful candidate to be data driven, analytical, and detail oriented.

Job Description

30% - Intakes:

  • Meet with complainants of reports to explain OCRTIX, explain processes, discuss report, explore support measures, and perform appropriate follow-up.
  • Provide assistance to complainants as they consider whether to submit a complaint and other options available.
  • Utilize conduct management software (Maxient), to perform appropriate administrative management of assigned intakes.
25% - Outreach:
  • Assist Director of Intakes and Outreach in developing and distributing materials to reduce barriers to reporting, and increase collaboration with KU and KUMC units. Includes, but not limited to brochures, presentations, website, template letters, videos, etc..
  • Create and facilitate/record presentations/trainings to the campus community. Audiences include students, faculty, staff, parents, and community constituents.
  • Participate in tabling opportunities to communicate OCRTIX processes to relevant audiences.
  • Meet with parties to cases, advisors, and witnesses to explain OCRTIX procedures.
20% - Administrative support:
  • Assist Administrative Associate in reviewing incoming reports, performing initial outreach to complainants, and scheduling intakes with appropriate staff.
  • Work to identify parties referenced but not individually identified in initial report.
  • Customize outreach letters to include resources relevant to individual and situation.
  • Update case log with relevant information in order to perform analysis on trends and patterns.
15% - Analysis of data:
  • Perform quarterly analysis on reports received and provide analytics based on KU’s protected classes.
  • Assist in review of materials and information to submit regulatory statistics as requested or required.
  • Prepare quarterly report from analysis for OCRTIX leadership to review and respond to.
  • Develop outreach plan to address trends and patterns indicated by report quarterly report and as otherwise necessary or requested.  
5% - Resource support:
  • Assist Case Manager in creating and maintaining list of resources for all campuses and instructional sites.
  • Assist Case Manager in exploring and developing support measures and relevant processes and policies.
5% - Other duties as assigned
  • Assist the OCRTIX team in completing tasks as directed by office leadership.

Required Qualifications

  • Bachelor's degree plus 3 years related experience.
  • Previous experience handling sensitive information while retaining data privacy.
  • One year of experience working to serve people of various protected classes.
  • One year of experience creating and facilitating presentations.
  • One year of experience engaging others in difficult conversations with sensitivity and kindness.

  • Preferred Qualifications

  • Experience working with a conduct management system, Maxient preferred. 
  • Experience working with graphic design platforms, Canva preferred.
  • Experience working with website management, CMS preferred.
  • Master’s degree in higher education, counseling field, data analytics, or related field.
