THE DEPARTMENT

This position is in the Institutional Research, Planning & Analytics (IRPA) department, within the Division of Information Technology and Institutional Planning (IT&IP).  Under direction of the Assistant Vice President, IRPA serves the university by providing leadership and support for institutional research, strategic planning, business intelligence, data visualization and predictive analytics. The office provides action-oriented data that helps decision-makers throughout the university foster student success and institutional effectiveness.

 

DUTIES AND RESPONSIBILITIES

Cyclical Institutional Reporting:

  • Collaborate with IR staff and the AVP to implement a systematic approach to fulfilling cyclical institutional research reporting needs including official enrollment census, CSU Chancellor’s Office reports, and external requests for official university data (such as the Common Data Set, and the US News and World Report survey).
  • Develop and maintain a comprehensive repertoire of computer queries, jobs, syntax, and project notes in a secure manner to ensure that cyclical research requests can be completed in a consistent and highly efficient manner. Participate in cross-training with other IR analysts to ensure continuity of service in the event of absences or turnover.
  • Manage the university's course evaluation process, including the use of queries to identify courses that will be evaluated, administering course evaluations, and working with stakeholders across campus to troubleshoot issues or answer questions.
  • Establish and maintain strong professional working relationships with campus academic and administrative offices, departments, and programs, as necessary to obtain needed data and information.
  • Develop a solid understanding of ethical, compliance, privacy, and security issues; apply relevant policies and procedures related to access, security, and delivery of data and research. 

Collect, Aggregate and Report Institutional Data

  • Query, aggregate, and report relevant university data. Obtain and integrate external data resources as needed.
  • Utilize standard research methodologies (including sampling techniques) and statistical analysis techniques (frequency distributions, correlations).
  • Support the university’s cyclical participation in national surveys of students by identifying intended survey participants, distributing surveys, synthesizing delivered reports and preparing custom reports as necessary.
  • Develop and conduct surveys of students, employees, and other constituents to gather quantitative and qualitative information on topics such as satisfaction with services, impact of programs, etc.  Summarize results and present them in a clear and concise manner to campus leaders.
  • Learn and apply creative ways to communicate data and research in a variety of formats (i.e., written, verbal, visual) to engage various audiences.

Other Institutional Research Support:

  • Periodically update the department website to ensure timeliness and accuracy of information available to the campus and the public.
  • Provide institutional research for the university in compliance with accreditation studies at the university level.
  • Participate in state and national organizations for professional development.
  • When the AVP is not available, attend campus meetings as an alternate.

 

QUALIFICATIONS

  • Equivalent to graduation from a four-year college or university. Additional experience which has demonstrated that the applicant has acquired and successfully applied the knowledge and abilities delineated above may be substituted for the required education on a year-for-year basis.
  • Two years of progressively responsible experience in technical research or statistical work in the collection, compilation, and analysis of data.
  • Graduate study in the social science, economics, mathematics, statistics, public or business administration or engineering may be substituted for the required experience on a year-for-year basis.

 

Thorough knowledge of research techniques, including the planning of studies and investigations, determining variables, developing bibliographical and other sources of data, and preparation of research reports; general knowledge of statistical principles and procedures, including methods of collecting statistical data, simple correlation methods, time series analyses, analysis of frequency series, sampling techniques, and construction of index numbers; general knowledge of sources of information on social, economic, and population trends in California.

Ability to prepare questionnaires and other survey instruments; ability to gather, compile, and analyze research data, and to present data in tabular, graphic, and pictorial form, ability to prepare and work clear and comprehensive reports; capacity for independent and creative thinking and writing on research and statistical problems; ability to plan, organize and supervise the work of a small team.

Preferred Qualifications:

  • Graduate level coursework in social sciences, education, public or business administration, or related fields.
  • At least one year of professional experience querying and analyzing student data from large complex information systems (such as PeopleSoft) or data warehouses.
  • Knowledge of current software tools to query, analyze and report data, and the ability to learn and master new tools.
  • Experience using one or more of our current IR tools (e.g., Veera Construct, Tableau, Qualtrics).
