Knowledge of federal and state laws, policies, procedures, rules, and regulations related to the specific administrative/management function. Knowledge of governmental fiscal and personnel procedures, practices, and policies. Knowledge of modern office practices, procedures, and equipment. Ability to coordinate diverse administrative/management functions. Ability to establish and maintain effective working relationships. Ability to plan, organize, and supervise the work of subordinate personnel. Ability to communicate effectively with managers, technicians, design engineers, and vendor representatives. Understanding and knowledge of information technology equipment, related accessories, installation requirements, and technician tooling. Experience with developing and maintaining an inventory control system to include physical stocking, work-in-process staging, and software implementation. |
Job Duties
Job Duty | Responsible for all aspects of inventory receiving, storage, and distribution using DoIT and USC inventory tracking, procurement, and asset management systems to include managing purchase orders, receiving inventory, tracking inventory levels, reordering stock, shipping orders, and assisting with various tasks as needed. Maintains accurate records and follows internal processes to ensure appropriate billing in the DoIT billing system. Maintains accurate daily records of goods received and shipments made. Unloads inbound shipments safely and moves product to appropriate locations. Pulls and prepares products for shipment. Moves product from staging and/or storage areas. Coordinate with shipping carriers to schedule pickups and track shipments: Prepare and package orders for shipment, ensuring accurate labeling and documentation. Communicate with vendors to resolve any order discrepancies. |

Maintains appropriate records and reports to guarantee inventory control and security. Establish and maintain optimal cost-effective stocking and reorder points for inventories. Analyze data and statistics to continually improve processes. Provides recommendations and best practice guidance for the Division of Information Technology’s inventory management systems and tools in alignment with university inventory policies and procedures. For transfers and disposal of equipment, prepares and maintains necessary forms as required by university policy. Engages in a continual cycle of process and service improvement. |

Job Duty | Serves as departmental liaison to the DoIT Business Office and University Purchasing for all procurement, accounts payable, and contract issues. Ensures the department’s compliance with USC Inventory Control policies/procedures including making timely required changes in the PeopleSoft annual inventory module. Co-leads the Division’s USC annual inventory verification process. Identify and resolve issues related to stock levels, such as shortages or excess inventory. Review documentation and monitor product codes to search for discrepancies; troubleshoot quantity discrepancies between stock and records. Accurately enter equipment information and asset tags into inventory control systems. Manages access control for inventory storage locations. Regularly monitor inventory levels and conduct physical inventory counts annually and at other times as needed to reconcile discrepancies. |
