Job Summary

The Industry Documents Library (IDL) Program Coordinator supports the development of the UCSF Industry Documents Library, a rapidly expanding digital archive of millions of documents publicly released as a result of lawsuits against the tobacco, opioid, chemical, food, fossil fuel, and other industries.

The Industry Documents Library is a digital archive of documents created by industries which influence public health, hosted by the University of California, San Francisco Library. Originally established in 2002 to house the millions of documents publicly disclosed in litigation against the tobacco industry in the 1990s, the Library has expanded to include documents from the drug, chemical, food, and fossil fuel industries to preserve open access to this information and to support research to protect and improve public health. The documents have been cited in more than 1,000 publications, including articles in the Journal of the American Medical Association, British Medical Journal, NPR, and The New York Times, and have helped to inform life-saving tobacco control and other public health policies around the world.

The Opioid Industry Documents Archive is the newest addition to the Industry Documents Library and was launched in March 2021 as a joint collaboration between UCSF and Johns Hopkins University. It serves a wide audience of academic researchers, journalists, lawyers, policymakers, individuals and communities affected by the opioid epidemic, and other members of the public, who seek to understand the impact of the opioid industry on public health outcomes and to develop evidence-based health policy solutions.

The IDL Program Coordinator is responsible for overall project management of multiple related program initiatives for the Industry Documents Library, including three significant grant-funded projects ($2 million total) to acquire, process, index, and preserve millions of litigation documents for the Opioid Industry Documents Archive. The Program Coordinator will develop and refine a comprehensive project plan to manage these initiatives; work with the core archives team to define project tasks and priorities; create schedules to outline timelines and deliverables for various stakeholders, including state Attorneys General; establish and maintain a shared project documentation site; assist with budgeting and financial oversight; schedule and facilitate regular meetings with internal and external collaborators; contribute to quarterly progress reports; assist with developing content for communication and outreach initiatives; assist with planning webinars, symposia, and other public events; and coordinate other program goals as needed.

The IDL Program Coordinator is a valued member of a small team of digital archivists and software developers. The IDL is a unit within the UCSF Library Archives and Special Collections, a dynamic health sciences research center led by the Associate University Librarian for Collections / University Archivist that contributes to innovative scholarship, actively engages users through educational activities, preserves past knowledge, enables collaborative research experiences to address contemporary challenges, and translates scientific research into patient care. The IDL team works remotely across several time zones and makes use of various online collaboration tools, including Zoom, Slack, Microsoft Office 365 Online. The IDL Program Coordinator will also work with colleagues at the UCSF Library and in other UCSF departments, and with collaborators at partner institutions.

Required Qualifications

•    Bachelor's degree in related area and / or equivalent experience / training.
•    Three (3) or more years of related work experience.
•    Experience working with MS Office suite of tools: Word, Excel, PowerPoint, Outlook
•    Experience using various online collaboration tools, including Zoom, Slack, Microsoft Office 365 Online or similar tools.
•    Thorough professional knowledge of project management activities. This knowledge may be acquired through work experience, possibly in combination with specialized training and skills or relevant academic preparation.
•    Demonstrated ability to analyze and resolve complex problems, and recommend solutions.
•    Strong communication and interpersonal skills including diplomacy and tact to communicate effectively with a variety of people in various situations.
•    Ability to multi-task with demanding timeframes.
•    Demonstrated commitment to creating inclusive and equitable environments for work and learning.


Preferred Qualifications

•    Thorough knowledge of applicable project management systems and databases.
•    Thorough knowledge of common organization- or research-specific and other computer application programs. Recommends new technology as needed.
•    Experience working with archives and special collections, digital archives, or law libraries and archives.
