Job Summary

Reporting to Director of Human Resources, the Human Resources Staff Assistant is a member of a collaborative team who provides a variety of front-line human resources administrative and project support for Campus Services HR, focusing on Leaves Administration.


Position Description

  • Responsible for PeopleSoft transactions related to job data changes, payroll, time& labor and absence management; processing changes to employee records.
  • Prepares and distributes correspondence for employees seeking a leave of absence. Ensures forms and policies are current and updated.
  • Triages phone calls from employees, supervisors and managers, assists with inquiries as appropriate and directs employees to appropriate Leaves Specialist or HR Consultant;
  • Inputs data into various Leaves related systems including the worker’s compensation claims system;
  • Creates and maintains leaves files, both digitally and in hard copy, ensuring compliance with all regulations, laws and internal policies;
  • Provides back-up support to the Leaves Specialist team during vacations and absences;
  • Provides support with weekly payroll review, auditing and issue resolution;
  • Supports HR initiatives by gathering data and creating reports using reporting tools such as QlikView, PeopleSoft, Progress/Maximo, Kronos and other information from the various systems. Researches, retrieves, organize and present data as requested;
  • Attends Leaves related team meetings and trainings as assigned;
  • Support local training initiatives by preparing documents, presentations, etc.;
  • Assists the Campus Services HR team with administrative tasks as needed;
  • Other related duties as assigned.

Basic Qualifications

Three or more years of related experience. Education beyond high school may count toward experience.      


Additional Qualifications and Skills

College degree in a related field preferred.  Some knowledge of HR/Leaves/Payroll policies and practices is helpful. Must be able to work in a fast-paced, deadline driven environment with a high volume of work.  Must be able to work learn multiple systems and have a strong attention to detail. Must be able to multi-task, prioritize work, be flexible and adapt to shifting priorities.  The successful candidate must be able to work independently and as part of a team. Must have excellent interpersonal, writing, and use exceptional judgment.  This position requires a high degree of confidentiality and demonstrates respect and due diligence in sensitive situations; must have outstanding customer focus. Must be comfortable working in an evolving organizational structure, and must have strong relationship building skills.   Must have proficiency with Microsoft Office applications; Bi-lingual language skills preferred (Spanish, Portuguese).

Emergency Status Designation: Non-Critical

Position is eligible for a hybrid work schedule as determined by University and local department policy and protocols.
