Summary

The Human Resources Partner, Student Employment serves as an HR generalist and performs a variety of duties in support of the human resources function including but not limited to recruitment, placement, training, and employee relations. The HR Partner will lead and support the student employment job placement process and respond to all policy and procedure inquiries. Additionally, the HR Partner will collaborate with the office of financial aid to validate student aid awards prior to job placement as well as track and communicate federal work-study hours to both supervisors and students. The HR Partner will also be responsible for providing information and assistance to faculty, and staff related to job postings, hiring, onboarding, and separation of employment. Additional duties will include projects related to the Federal Work-Study program and student employment such as recognition awards, benchmarking analysis, student retention metrics, and conducting training for both supervisors and students. Additionally, the HR Partner will serve as the primary backup to the Talent Acquisition Manager and will be the first point of contact for Talent Acquisition needs in the absence of the Talent Acquisition Manager.

This is a hybrid position however in-office presence will be required for the first three months, and at the beginning of the academic year along with the flexibility to attend specific evening and weekend open house sessions.  


Essential Functions

Serves as the Human Resources Partner by completing various functions to include:

  • Providing guidance to all hiring managers throughout the recruitment and onboarding process.

  • Posting all vacant student, faculty, and staff positions utilizing Workday HR Recruiting applicant tracking system. Ensuring job titles and postings are consistent university’s practices.

  • Screening applications and resumes and providing hiring managers with qualified candidates via Workday HR Recruiting.

  • Coordinating and conducting applicant interviews when applicable. 

  • Conducting background reference checks for all employees as required. Ensures students hired in a leadership role are cleared with the Office of Student Conduct (i.e., Housing and Residence Life, CCSI positions).

  • Verifying Federal Work-Study student award eligibility of students with financial aid before job placement and throughout the recruitment process.

  • Assist new hires with the onboarding process in Workday.

  • Facilitating the completion of Form I-9 Employment Verification requirements for all new employees utilizing E-Verify. 

Performs various functions in the HRIS system to include:

  • Initiating functions in Workday HCM/Recruiting such as creating job requisitions, referring applicants, or inviting candidates to apply for vacant positions. Approves/reviews various business processes in Workday to include hiring, placement, assign organization, and processing job changes such as transfers and terminations. Accurately enters the information in the HRIS database.

  • Ensuring position titles are displayed in Workday in a consistent manner and follow best practices according to established protocols.

  • Reviewing TeamDynamix ticketing system and responding to all open ticket inquiries within 72 hours.

  • Reviewing and responding to emails received in the student employment mailbox.

  • Testing new Workday Releases for functionality and potential implementation.

Coordinates and develops Work-Study and Student Employment programming:

  • Collaborating with the Organizational Development team to create support programming for students to develop workplace competencies as well as process and best practice training for supervisors. 

  • Partnering with divisional to develop and create student recognition programs.

  • Attending new student orientations to promote the student employment program.

Develops Student Employment Hiring Policies and Procedures in accordance with best practices:

  • Developing Work-Study/Student Employment guidelines for hiring managers and students.  

  • Ensuring the Student Employment Handbook is current and up to date.

  • Conducting benchmarking analysis on Student Employment policies, procedures, and programming as required.

  • Ensuring websites display accurate and the most up-to-date information on FWS/Student Employment hiring procedures.

Conducts audits and communicates the status of FWS hours:

  • Monitoring the Federal Work-Study student total award amount on a bi-weekly basis to ensure student payments do not exceed allocated funds. Responsible for communicating FWS's remaining hours to both supervisors and students at least three times during a semester (during the beginning, mid-point, and towards the end, 2 to 3 weeks before graduation).

  • Ensuring proper reconciliation to the general ledger for Work-Study Cost

  • Ensuring Work-Study students are ended in Workday at the end of each academic year including graduating students.  

  • Providing analytics and input into the review of student positions to ensure FWS funding is utilized to the maximum.

  • Entering total award amounts for each FWS student in Workday. Collaborates with Financial Aid to modify award amounts as required.

  • Enter one-time payments when applicable.Centers/Function/Fund.

Provides leadership, guidance, and support to direct reports by:

  • Collaborating with the Manager of Talent Acquisition to provide ongoing feedback and coaching to ensure direct reports meet/exceed expectations related to service standards.

  • Mentoring the Human Resources Partner by providing coaching, feedback, and training recommendations.   

  • Providing mentorship, orientation, and training to internal Human Resources Student employees.

  • Scheduling and assigning tasks to internal Human Resources Student employees.


Qualifications/Requirements

  • A Bachelor's in any discipline is required and 3 years of relevant experience.

  • 3-5 years of experience in Administration, Financial Aid, or Human Resources may substitute the bachelor's degree requirement.

  • This position requires a high level of analytical skills to problem-solve a variety of Human Resources related challenges and provide sound judgment in decision-making. This position requires the ability to identify and resolve problems in a timely manner while gathering and analyzing information skillfully.

  • Proven ability to take initiative and prioritize actions while managing numerous tasks. Proven ability to multi-task and work in a team environment.

  • This position requires proficient use of the Microsoft Office suite to include Word, Outlook, Excel, and PowerPoint.

  • Workday Human Capital Management and workday Recruiting experience preferred.

  • Ability to learn Colleague-Ellucian, TeamDynamix, and other platforms related to Human Resources.

  • This position requires strong communication skills both written and verbal. This position requires an individual who speaks clearly and persuasively in positive and negative situations. Must have excellent presentation skills.

  • Provide excellent customer service to all University constituents. Follow up on inquiries on time. Diffuse irate situations in a calm and solution-focused manner. Displays a positive and welcoming demeanor to students, faculty, and staff.

  • Ability to handle highly sensitive information with integrity and confidentiality.
