This position works in collaboration with the human resources team to provide support to the Intercollegiate Athletics Department (ICA) of over 300 full-time permanent employees.

Independently perform a variety of complex and confidential human resources functions. Provide expertise, consulting, and training regarding classifications, compensation, and recruitments. Administer regulatory compliance interpreting and clarifying rules, laws, policies, and procedures. Develop policies, continuous process improvements, and best practice human resource solutions. Serve as a liaison with campus partners including UW Human Resources, Compensation, and the Integrated Service Center.
The Associate Director of Human Resources will oversee classifications, compensation, and recruitments for permanent employment programs within Husky Athletics. This includes the ICA Contract program, professional staff, and classified job profiles, for approximately 315 employees.

JOB RESPONSIBILITIES
Position Management (30%)
Provide direction and counsel regarding employment programs for permanent staff within Husky Athletics. Independently evaluate and provide resourceful solutions for new positions, reorganizations, and other staffing changes. Advise on applicable job profiles and related position requirements. Provide guidance and assistance with the development of position descriptions and position review documents. Manage creation and change processes through UW Compensation and the Workday system.  May track compensation changes and contractual payment obligations to ensure timely administration and payment.

Request Workday supervisory organizations and security roles through the Integrated Service Center. Ensure managers complete security role trainings and understand related responsibilities. Provide guidance on resources available in Workday and through the Integrated Service Center.    

Coach and advise managers and staff regarding the interpretation and application of federal, state, and University policies, labor agreements, professional staff and ICA Contract provisions. Evaluate organizational practices and compliance with rules and regulations.

Develop and maintain various tracking systems and personnel files for permanent Husky Athletics positions. Ensure compliance with UW records retention policies.

Recruitments (30%)
Manage and support the recruitment process for collegiate athletics employment programs. Provide guidance and assistance with position descriptions, job postings, and advertisements. Advise on policies and best practices. Confirm budgetary approval, salary range, and funding source(s).

Support recruitment processes in the University’s Workday and UW Hires systems for approximately 65-100 recruitments per year. Provide hiring managers with suggestions and guidance throughout the recruitment process. Hiring managers will also receive support on diversity, equity, and inclusion (DEI) strategies. Provide information to assist with salary decision making and to ensure internal pay equity. Determine relocation provisions where applicable.

Coordinate with campus HR on background checks and related hiring requirements. May prepare communications, appointment letters, and ICA Contracts as applicable for new employees.

Conduct or support introductory onboarding meetings to provide a welcoming start to employment. Ensure employment eligibility requirements are met by stated deadlines. Provide new employees with an overview of Workday, payroll, timekeeping, leave, and holidays. Direct new employees to University orientations and benefits resources. Communicate relocation packages where applicable.  May coordinate with hiring manager and on-boarding coordinator on new employee on-boarding processes.       

Compensation (30%)
Provide comprehensive support regarding University of Washington salaries and pay ranges/grades. Analyze salaries to ensure alignment and internal equity. Proactively identify compensation and classification issues. Provide data-driven information to assist in compensation decision-making. Develop creative solutions considering the goals of the department.

Provide guidance on University processes for making changes to position grades and compensation. Assist managers in creating related documents and justifications. Manage salary changes and other one-time payments through UW Compensation and the Workday system. Prepare related letters and notifications.
Oversee and manage the provisions for ICA Contract positions. Process applicable salary changes. Monitor and determine incentive achievements. Process incentive payments, severance payments, and other contractual commitments. Provide support to sport administrators for information regarding salary histories, contract provisions, and related information. Determine and provide information regarding future financial obligations for the annual financial audit.

Ensure awareness of changes and impacts related to the Fair Labor Standards Act (FLSA), the Washington State Minimum Wage Act (WMWA), and other regulatory policies. Collaborate with UW Compensation. Research and prepare data for recommendations on best courses of action.

HR Operations (10%)
Prepare reports regarding personnel and compensation for audits, salary surveys, employment verifications, and public records requests, as applicable.

Identify ways to improve efficiency, communications, and other HR operating procedures. Create and provide training programs and other resources for managers and staff. Implement continuous process improvements. Ensure consistency of practice throughout the department.

Other responsibilities as assigned.

Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington and any other governing body is of paramount importance to the University.  The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations.  As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.

MINIMUM REQUIREMENTS –
Bachelor’s degree. A minimum of four years of experience with human resources management or administration.

ADDITIONAL REQUIREMENTS
Experience with varied employment classifications and management of recruitments. Efficient computer skills using Microsoft Office products, database, and other online platforms. Proficient written and verbal communication skills. Ability to work with multiple priorities and deadlines. Evening and weekend work may be required for time sensitive recruitments and other priorities.

Knowledge of federal, state, and local employment policies and procedures Ability to analyze, interpret, and apply complex rules and regulations. Experience with consulting and administrative problem solving to find innovative solutions and achieve goals. Demonstrated ability to exercise discretion and maintain confidentiality.

An equivalent combination of comparable education and experience may substitute for stated requirements.

DESIRABLE SKILLS –
Working knowledge of Workday HR/Payroll systems and security roles. Experience with human resources, recruitments, and contracts in the unique environment of collegiate athletics.
