Human Resources Coordinator - 65316
Under the direction of the Director of Administration and Operations, the Human Resources Coordinator (HRC) is responsible for coordinating the overall human resources function for the Offices of Undergraduate Admission, Financial Aid and Visitor Information Services (76 +/- FTEs and approximately 175 casual/temp and/or student workers) and serves as: (1) the first point of contact for all human resources inquiries and (2) a resource in the interpretation of HR policies and procedures, using HR and HR-related systems, and payroll processing. The HRC provides systems and administrative support for the daily operations and interacts with many constituencies across campus(e.g., Offices of the President and Provost, Risk Management, Payroll,Benefits, Environmental Health and Safety, etc.), which requires the ability to communicate effectively and build strong working relationships.
Core Duties and Responsibilities:
Recruitment and Employment
Coordinate the recruitment process, including job postings and vacancy announcements (e.g., in Taleo Applicant Tracking System,professional organization websites, and newspapers), interview scheduling,applicant disposition, department orientation, complete hire process through data entry into PeopleSoft HRMS.
Human Resources and PeopleSoft Administration
Process and update new hires, terminations, salary changes, promotions, reclassifications and any changes to employee personal and job data records. Organize, maintain and manage personnel “shadow” files and in accordance with the University Admin Guide, leave records, requisition files and position summaries.
Time & Leave and Payroll Administration
Accurately process semi-monthly hours worked for exempt and nonexempt employees, casual/temporary and student workers, and update leave hours into AXESS Time & Leave system to meet payroll processing deadlines. Process historical edits and overtime. Audit and review AXESS time detail, approvals processed by employee, and supervisor approval sign-offs.
Policies and Procedures
Assist with communications to employees regarding University Administrative Guide, and interpretation of University and HR policies and procedures. Resolve basic issues as appropriate.
Bachelor’s degree (HR professional certification aplus) and 2-3 years of HR experience required. Strong attention to detail andaccuracy. Demonstrated ability to maintain confidentiality and effectively handle high sensitive and personal information with sound judgment, tact, and discretion. Effective interpersonal skills and political acumen to handle sensitive and/or confidential issues, and to interact with a wide range of individuals, both within the unit and the university. Evidence of energy and flexibility to coordinate multiple assignments, set priorities, and work with minimal supervision under tight deadlines and pressure in a demanding environment. Demonstrated initiative and customer-service skills. Ability to moderate discussions and handle challenging situations. Ability to establish and sustain productive working relationships; collaborative style with effective team orientation. Strong systems applications skills (Word, Excel,Outlook). Familiarity working with web-based programs used at Stanford, such as PeopleSoft, Axess Timecard, ReportMart, and Oracle. Excellent oral and written communication skills.
