As the human resources (HR) coordinator, you will complete and send Status Change forms (SCFs), employee exit packets, and promotion/transition letters to the EPSM. You will pull and format accurate job descriptions from the employee database. In this position, you will support weekly employee headcount and Additional Work Request (AWR) processes, log substitute pay in an Excel spreadsheet, and organize and maintain personnel records. Responsibilities include retrieving employee information, preparing training materials, and extracting and sending EPSM student evaluations as requested. Expectations include tracking the employee exit processes, recording and updating client lists, ensuring timelines for annual projects are clear and outlined on a shared calendar, and pulling reports during staff/yearly evaluation cycles.

In the role of HR coordinator, you will maintain shared electronic folders of the EPSM team, use SCAD’s e-commerce system for reimbursement and travel expenses, purchase office supplies, and request maintenance for the HR building as needed. Additionally, you will assist with staff orientation preparations by sending access request emails for new hires, coordinating onboarding itineraries, creating welcome bags, and scheduling presenters and other visitors to orientation. Other responsibilities for orientation prep include reserving the conference room, coordinating tour transportation, conducting A/V setup, ordering food, communicating with new hires as needed (welcome, invitations, surveys, etc.), helping with workshop prep, and tracking attendance.

Minimum Qualifications:     

  • Bachelor’s degree with at least one year of related experience
  • Excellent communication, organization, and computer skills
  • Familiarity with Microsoft Office software suite, Banner, or a similar database
  • Ability to maintain accurate records with confidentiality
  • Ability to handle multiple priorities in a fast-paced environment with high expectations

Certificates, licenses, and registrations:

  • Valid driver’s license with a clean driving record

 Travel Required:

  • Less than 10%  

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
