Position Overview

Position Summary:
Under general supervision, provides a variety of administrative services for the University in support of the day-to-day operations of the Human Resources Department.


Requirements

Duties and Responsibilities: 
Responsible for operational and technical personnel duties to include, but not limited to:

  • Process paperwork for new employees including I-9 compliance
  • Computer entry and file maintenance
  • Assist with NEOGOV database including but not limited to routing applications
  • Process and manage worker’s compensation program and OSHA reporting requirements
  • Welcome and provide guidance to employees and the public regarding personnel matters, including the interpretation of general HR policies and procedures
  • Assist with new employee orientation customers
  • Update and maintain HR Portal forms
  • Responsible for maintenance of confidential personnel files 
  • Maintain computer employee data information
  • Answer telephones and provide accurate information to callers
  • Conduct employment verifications
  • Assist with various personnel projects including but not limited to leave administration and timesheets
  • Establish and maintain various reports and documents to provide current personnel information
  • Responsible for maintenance of HR archived files
  • May supervise and train student employees
  • Perform other duties as assigned
 
Minimum Job Requirements:
High school diploma or equivalent certificate and a minimum of two years of experience in higher education, human resources or related field is required.
 
Knowledge, Skills, and Abilities:
  • Ability to work with sensitive information and to maintain high standards of confidentiality at all times
  • Ability to maintain effective working relationships with employees, other agencies and the public 
  • Ability to follow written and verbal instructions
  • Ability to pay attention to detail
  • Ability to multi-task
  • Ability to communicate effectively orally and in writing
  • Ability to perform routine and moderately complex clerical tasks rapidly and accurately
  • Knowledge of computer-based programs to include experience with database query and report writing, HRIS entry, maintenance and Microsoft Office
  • Knowledge of procedures and regulations established and maintain effective working relationships with others
  • Knowledge of Worker’s Compensation state regulations and processes preferred
  • Knowledge of general payroll principles and methods


Working Conditions

Physical Demand and Working Conditions:

  • Work is sedentary in nature that at times requires exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Work is performed on the main campus in Portales with a general 8-5 Monday through Friday schedule.
