The Department of Radiology has an outstanding opportunity for a Full Time Human Resources Coordinator.  The Human Resources Coordinator contributes to the growth and success of the Radiology department by executing the mission and vision.  This position reports to the HR Administrator of the Department of Radiology is a key member of the Radiology HR (RADHR) team. The RADHR team consists of the HR Adminstrator, HR Business Staff Partner, and HR Faculty Coordinator.

Under the supervision of the HR Administrator, this position will provide assistance with faculty, student/volunteer and visa appointments in collaboration with the other Radiology HR team.

RESPONSIBILITIES:

Essential Duties & Responsibilities (Other duties may be assigned to meet business needs.)

Faculty Appointments- 60%
Assist HR Administrator & Faculty Coordinator with:
• Coordinate all aspects of the faculty appointments including gathering faculty documents from incoming faculty, completing faculty appointment packets and submitting for approvals from School of Medicine (SOM)’s Dean’s Office, Integrated Service Center (ISC) and other departments as necessary.
• Maintain faculty appointment checklists and update reports as necessary
• Assisting with monitoring faculty appointments end dates, including fellowship program appointments
• Coordinate renewal of appointments with the Section Program Coordinators/Operations Specialists and the HR Administrator
• Distribute materials for the new junior faculty orientation and help assist section program coordinators with onboarding/orientation.
• Generate and preparing final reports to provide HR Administrator and Dept. Leadership
• Maintain accurate Radiology faculty files (electronic & hard copy).
• Coordinate trainings with Radiology's Program Coordinators and Radiology Secretary
• Assist HR Administrator with faculty recruitments including assistance with posting advertisements
• Oversee the end of appointments of postdoctoral scholars and work with RADHR team to ensure any necessary renewals get initiated in a timely manner.

Visa Appointments- 20%
• Support the RADHR team with coordinating visa appointments, including gathering required documents for packet, preparing & ensuring completion of visa packets for the International Scholars Operations team, and answer any questions from supervisors or incoming visa scholars.
• Oversee the end of appointments of all visa appointments (faculty on visas, visiting scholars, and visiting students) and informing RADHR team to ensure any necessary renewals get initiated in a timely manner.

Student/Volunteer Appointments- 15%
In collaboration with the HR Staff Business Partner, help:
• Manage all aspects of the student recruitment/appointment process. This includes working closely with hiring managers’ requests for student appointments—which may include recruitment or processing pre-identified candidates, gathering documents, etc.
• Overseeing the end of appointments of all student appointments and working with HR Business Partner to any necessary renewals get initiated in a timely manner.

HR/Payroll Reporting- 5%
• Run reports to see upcoming end dates and communicate with HR team to help process changes as needed
• Review faculty, trainees, and staff start and end dates for FMLA or other leaves and process extensions as needed
• Establish and maintain electronic tracking system to ensure training requirements; customize training plans based on positions and appointments including asbestos, prevention of sexual harassment, new employee orientation, benefits, human subjects, HIPAA, and lab safety have been successfully completed
• Run reports to provide analysis as needed for department management
• Initiate and provide updates on Workday functions
• Ensure Workday activities are managed accurately and timely, following compliance requirements per the State and University regulations
• Complete required training for this role provided by ISC including: HCM Initiate 2 training, Costing Allocator training, and Time and Absence training

MINIMUM REQUIREMENTS:
• High School Graduation or equivalent and three years of office experience including at least six months of experience in a human resources or related setting OR equivalent education/experience.

• Proficient knowledge of other Microsoft Office Products (Word, PowerPoint, Excel, Visio, Outlook, Teams)
• Time management multi-tasking, details oriented, and organizational skills
• Professional communication style and presentation skills
• A positive attitude to thrive and succeed in a fast-paced environment

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired Qualifications
• Knowledge of and experience with the University of Washington Proficiency of and experience with UW HR/Payroll Systems (i.e. Workday)
• Four-year degree in business Must be detail-oriented

Supervision:
This position reports to the HR Administrator in the Radiology Department.

Work Environment:
• Schedule is normally 8a to 5p, M-F, but is not always fixed and workload does vary. The incumbent¹s first responsibility is to complete tasks rather than keep to a fixed schedule.  Flexibility in schedule and intensity of work is necessary.
• Position is suitable/eligible for hybrid/occasional telework
• Some travel between sites will be necessary by UW Health Services or other shuttles.
