JOB SUMMARY

We are seeking an HR Onboarding Specialist to perform a variety of specialized, complex activities in the coordination of onboarding for a large department. Strong emphasis on proactive problem resolution and departmental communications.

JOB DUTIES AND RESPONSIBILITIES

  • Oversee the new hires process in a timely and reliable manner; ensure compliance with Health System policies and procedures.

  • Strategically collaborate with payroll, talent acquisition, clinical orientation, background check center, occupational health, and the Duke Card office to streamline onboarding procedures.

  • Liaise with partners to address onboarding-related progress or delays, providing necessary support and resources.

  • Manage and organize onboarding records and files for division new hires, ensuring accuracy and completeness.

  • Coordinate new hire badge requests with the Duke Card office on a weekly basis, addressing daily support needs from employees and managers.

  • Submit new hire and internal transfer transactions in iForms (Duke’s iCIMS) with meticulous attention to detail, handling complex submissions proficiently.

  • Manage a high volume of email inquiries on a daily basis, responding promptly and prioritizing urgent requests to maintain effective communication channels.

  • Compile quarterly operational reports reflecting onboarding progress, identifying adverse trends, and offering appropriate recommendations or conclusions to drive improvement.

  • Perform other related duties incidental to the work described herein, contributing to the overall efficiency and effectiveness of the onboarding process.

JOB ELIGIBILITY REQUIREMENTS

  • Work requires knowledge of basic communications, research and mathematical principles normally acquired through a high school education.

  • The position demands proficiency in monitoring, evaluating, sustaining, investigating, and documenting onboarding activities and payroll data, typically obtained through a minimum of five years of relevant work experience or equivalent combination of education and/or experience.

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
