Job Description

Serves as the primary contact to all walk in current, former and future employees, and retirees regarding payroll, benefits, and other HR transaction and policy related questions. Handles customer service inquires and problems for walk in customers and assists with telephone and/or email inquiries. Performs a variety of administrative activities to ensure the maintenance of accurate human resource documents and files in accordance with all applicable standards, regulations and requirements. Requires general knowledge of company benefits, policies, payroll and other HR related issues

Essential Duties

  • Provides enhanced client service and assists with self-service activities upon receiving inquiries from employees, current, former and future, and retirees.
  • Provides resolution of general HR issues for walk-in clients and/or referral to appropriate specialists for complex issues.
  • Reviews New Hire Package paperwork and authorizes I-9 forms for domestic new hires.
  • Completes and files written requests for Verification of Employment. Accepts, reviews for completion, and date stamps all Human Resource paperwork received on a walk in basis.
  • Establishes official human resource file for all staff, faculty and student workers upon hire to ensure contents are complete and comply with appropriate regulations and requirements.
  • Periodically, audits contents of official files to ensure adherence to established policies. Reviews for completion, separates, sorts, date stamps and files confidential documents maintained in personnel records appropriately, including New Hire Packages, to ensure compliance with applicable regulations.
  • Responds to requests to review human resource files; coordinates inter-campus requests with central OHR; logs requests and forwards/receives official files and notifies requestors to schedule appointments for file reviews. Transfers all files/records of terminated staff, faculty and student workers from active to inactive status; purges files in accordance with established University Retention Schedule and applicable regulations.
  • Performs routine clerical activities to provide for the efficient daily operations of the department; maintains files current and accurate for easy retrieval/access; provides assistance to applicants as needed to facilitate completion of application process.
  • Periodically audits contents of official files to ensure contents are complete, accurate and adhere to established standards, regulations and policies.
  • Develops comprehensive understanding of HR Service Center operations.
  • Performs special projects and any other duties as assigned.

Minimum Qualifications

Completion of a course of study leading to a High School Diploma (or equivalent) and two (2) years of office management/reception experience preferably in the field of human resources; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Ability to learn customer service software applications.
  • Skill in telephone manner with clear, concise and professional communication skills.
  • Ability to maintain confidential information.
  • Ability to prioritize workload and provide timely follow-up and resolution.
  • Ability to accurately collect information in order to understand and assess the clients’ needs and situation.
  • Ability to multi-task and attention to detail.
  • Ability to work in an environment subject to regular interruptions, quickly changing priorities and potentially confrontational situations.
  • Ability to accurately perform a variety of routine arithmetic calculations, maintain database files, electronic and hardcopy files.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
