Position Summary

The Human Resources Business Partner (HR Associate) works within UI Health Human Resources Department-Recruitment & Retention  to assist in the planning, implementing and evaluation of human resources strategies throughout the Hospital. This position works with the Human Resources Manager, Recruitment in the sourcing, screening, hiring, and processing of new and existing employees.

This position is also responsible for onboarding new hires for the Office of the Vice Chancellor for Health Affairs and UI Health Civil Service positions recruited by Campus Human Resources. The HRBP assists with the collection and analysis of human resources data and the development of procedural solutions for statistical and information purposes in order to ensure effective results and outcomes. As a strategic partner, the HRBP aligns Hospital and departmental objectives with employees and management through coordinated recruitment & retention efforts.

Duties & Responsibilities

• Develops high quality candidate pools to support the Recruitment team by proactively sourcing passive candidates; implements targeted recruitment plans for Hospital vacancies; utilizes recruitment methods including networking, cold calling, social media, professional associations, conference lists, referral programs and online search tools to source and recruit candidates. Develops and administers various employee group recruitment plans and procedures. Provides guidance and input on business unit workforce planning.

• Assists in the planning and execution of all recruitment activities including reviewing, tracking, and delegating approved requisitions, monitoring application tracking system use, applicant review, salary determinations based on union contracts/market equity, job offers, onboarding, vacancy postings and orientation classes for new and existing employees. Collaborates with outside advertisement agencies for external job postings and advertisements. Assist in coordinating recruitment activities: Open Houses, advertisings, recruitment materials, passive recruitment strategies etc.

• Coordinates and completes all new hire activities throughout the UI Health System including: conducting Behavioral Based Interviews, coordinating/participates in search committees, status reports about search’s progress, posting positions, serving as subject matter expert on the Application Tracking System for users and applicants, scheduling search committee meetings and interviews, conducting reference checks, and extending and negotiating offers, onboarding, pre and post hire transactions and initiating access to UI Health Systems.

• Responds to routine inquiries and contacts applicants regarding applicant review, on-boarding, orientation classes, and related recruitment activities.

• Meets with new and existing hires to complete onboarding including preparing offer letters, degree verification, background checks, scheduling health screens, HRFE transactions, verifying employment eligibility and completion of Form I-9’s using Tracker, sending welcome information, and processing NESSIE NEW HIRE documents.

• Onboard new hires for the Office of the Vice Chancellor for Health Affairs and UI Health Civil Service positions recruited by Campus Human Resources.

• Conduct “HR Rounding” throughout Hospital & Clinics to discuss recruitment needs and plans. Provides HRIS and HR process training to management. Meets with candidates during interview process acting as the organizations point person for onsite visits. Meet with new employees during their first week to address any questions or concerns.

• Prepares, creates, transmits, files and secures documents while maintaining confidentiality and HIPAA regulations (applicant files, employee files, benefit files, and audit files). Composes routine correspondence (such as register information, form letters, and human resource/payroll forms) which requires knowledge of established departmental procedures.

Minimum Qualifications

  • Bachelor’s degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.
  • Two (2) years (24 months) of work experience performing professional-level human resources duties.
  • Preferred Qualifications

    • Experience in recruiting.
    • Experience working with all organizational levels.
    • Ability to manage multiple concurrent deadlines with attention to detail.
    • Excellent interpersonal skills and desires to create a positive experience for others.

    This position requires IL residency within 180 days of hire date
