Position Description


Advertised Job Summary
The Human Resources (HR) Administrative Specialist provides professional-level HR service and administrative support to the College of Information and Communications. Responsibilities include but are not limited to, scheduling meetings, arranging travel, handling correspondences, maintaining filing systems, assisting with event planning and execution, adjunct, temporary and student hires, job postings, hiring proposals, personnel actions, administrative tracking for personnel files and other legally mandated requirements, and serving as a resource for adjunct, temporary and student HR questions.
Minimum Qualifications
Bachelor’s degree and 1 or more years of experience, which may be substituted by an equivalent combination of certification, training, education, and/or experience.
Preferred Qualifications
Experience with higher education human resources and/or payroll. Knowledge and familiarity with higher education support services.
Knowledge/Skills/Abilities
Excellent customer service, human resource, business operation and data management skills, especially the ability to work with other office members to accomplish complex tasks. Excellent verbal and written communication, program coordination, and organizational/planning skills. Ability to provide accurate work products with attention to detail. Ability to manage multiple tasks with frequent interruptions. Knowledge of general office practices/procedures and computing hardware/software resources. Ability to maintain confidentiality.

Job Duty
Human Resources – Hiring
  • Responsible for all temporary/TFAC and student hires in Peoplesoft HCM for the CIC, SJMC and iSchool
  • Will serve as a backup for staff and faculty hires, as needed.
  • Coordinate background checks.
  • Complete Form I9’s and review/obtain the required documentation.
  • Facilitate orientations and ensure a smooth onboarding process.
  • Process and document changes in employment status, such as extensions and terminations.
  • Ensure compliance with university policies, employment laws, and accreditation standards.
  • Serve as a point of contact for adjunct faculty and student employees regarding HR matters.
  • Identify opportunities for process improvement in the hiring and onboarding of adjuncts and students.
  • Maintain accurate and up-to-date records for adjunct faculty and student employees.
  • Review HR actions for compliance with University policies and procedures, forwarding any potential concerns to the Human Resources Manager.

Human Resources – Support
Provide administrative support for CIC Human Resources which includes, but is not limited to:
  • Provides administrative support to the Human Resources Manager.
  • Process HCM actions for HR Manager to approve.
  • Complete retro payroll funding journal entries.
  • Serves as liaison to the Division of Human Resources and Payroll, as needed.
  • Process affiliate appointments for the college.
  • Provide administrative support to search committees.
  • Maintains current knowledge of HR processes, policies and procedures.
  • Assist with data collection and special projects, as needed.

College Administrative Support
Provide administrative support for the CIC, SJMC and iSchool. These will include, but are not limited to:
  • Coordinate logistics for CIC guests which includes, but is not limited to all correspondences, scheduling of meetings, and developing itinerary.
  • Serve as a receptionist for the CIC Dean’s Office and SJMC Director’s Office.
  • Assist with data collection and special projects, as needed.
  • Process all expenses, travel, foundation payments/reimbursements, and payment requests.
  • Coordinate travel for faculty, staff, students and visitors.
  • Order and maintain office supplies and office equipment.
  • Maintain and reconcile purchasing card, travel card, and Publix card statements.
  • Field all phone calls to the appropriate department.
  • Schedule meetings and document meeting minutes

College Event Support
Assists in the planning, coordination and execution of all CIC events. Responsibilities include but are not limited to:
  • Collaborate with other team members or departments to ensure successful event execution.
  • Secure venues, vendors, speakers, and entertainment as needed. Invitation process
  • Coordinate logistics, including catering, transportation, parking, technology accommodations, and equipment rentals.
  • Assist with all logistical aspects of events, including setup, teardown, and on-site coordination.
  • Assist with registration processes and manage attendee databases.
