Reporting to the Assistant Director for Housing Occupancy and Systems , this position oversees the comprehensive management of housing applications, assignments, and lottery processes for approximately 2,300 on-campus bed spaces spanning six residence halls and two apartment complexes. Facilitates the collection of applications and deposits from incoming students, meticulously maintaining records and addressing current student concerns. Initiates, processes, and executes room change requests with acute attention to detail in managing all aspects of student housing records. Assists in creating, editing, updating, and troubleshooting Housing Application and Process Online Portal. Provides essential administerial support to the Director and Assistant Director in updating dashboard metrics around current occupancy and utilization. Ensures strict compliance with FERPA regulations in all communications with students and families regarding housing assignments. This role requires the ability to exercise sound judgment and take independent action based on an in-depth understanding of departmental policies and processes when advising current and prospective students, parents, and university departments.

  • Housing Assignment Management - This position will track and assign housing to all incoming and current residential student applicants, as well as assist with various Housing processes each academic year utilizing our specialized housing software (StarRez). Create and edit bookings as needed for room changes and oversee the utilization of Emergency Use spaces on campus as well. This position also oversees the waitlist of students not yet assigned to their preferred housing and communicates out updates regularly.
  • Student Facing Interactions - This position will interpret departmental and university policies to advise students, parents, and campus partners on the housing application process and availability. They’ll serve as the main point of contact for student issues regarding housing assignments and work with them/parents to find a reasonable resolution while maintaining FERPA compliance. They’ll also serve as the initial contact for Housing Exemption requests and will advise students of proper paperwork to complete for various Housing processes.
  • Financial Responsibilities - This position will assist the Assistant Director with room rate charges + appropriate billing cycles, ensuring accourate charges are pushed to Student Accounts via interface with Banner. Process refunds for students who have resigned or withdrawn from the university and are responsible for maintaining accurate statements by adjusting bills appropriately for housing moves and transfers.
  • Application and Online Portal Management – Update and maintain existing process flows within StarRez Portal X annually and as needed to ensure new student application, reapplication, summer housing, and other related processes work smoothly for new and existing students. Take initiative to create work flow improvements were possible. Assist the Assistant Director in testing and troubleshooting processes.
  • Report Management - This position will assist with the development and distribution of statistical housing reports for internal and external consumption, making annual updates to report templates to ensure continuing functionality, as well as create various Dashboard Reports in StarRez to collect live data of on-going processes for both internal and external group use.
  • Collaboration Efforts - This position will act as an intermediary with campus partners involved in admitting new students (Admissions Office, Business Office, Global Engagement, etc.). Will also work with the Student Accessibility Services to establish viable housing accommodations for inquiring students and will assist with various Student Life efforts to create a positive on-campus experience for residential students. Work with Athletics and other full scholarship groups to ensure compliance and completion of application process for students required to live on campus.
  • Training and Presenting – Assist Housing leadership in training Residence Life staff on Housing processes.

Qualifications

  • Bachelor’s degree required.
  • 1-3 years combined experience working in a Higher Education system, Housing department, Property Management, or similar professions
  • Familiar with Banner and StarRez Housing system preferred
  • Understanding of FERPA regulations preferred
