Job Summary
University Human Resources is seeking a Help Center Technician. This is a full-time (1.00 FTE), 12-month, professional faculty position.
The HR Help Center is part of the University Human Resources (UHR) Service Center. The Service Center is comprised of five main operational areas/teams: Recruitment Services, HR Support Services, HR Help Center, Employee Benefits, and the Student Employment Center. The HR Help Center consists of a team responsible for several functional areas that include the Ask HR help desk, verbal employment verifications, staff fee benefits, data auditing, and time and leave administration. The team strives to ensure timely processing of verbal employment verifications, accurate auditing and application of staff fee benefit requests, high quality service to customers of the Ask HR help desk, and accurate and appropriate time and leave administration.
The purpose of this position is to support the team in the areas of Ask HR, data auditing, staff fee requests, with an emphasis on time and leave administration, but may be called on to help in any area of the Service Center as needed.
The position requires an individual who is well-versed in working with the public, has patience and good listening skills, can effectively communicate verbally and in writing, can prioritize and complete a wide variety of tasks throughout the day, and strives to create a pleasant experience for all customers.

Key Responsibilities
40% Ask HR Help Desk
  • Serve as first point of contact for employee questions; provide technical expertise and referrals regarding human resource systems, processes and procedures.
  • Provide timely and accurate information to inquiries made to University Human Resources using resources available, while ensuring employee’s privacy is protected and that information disclosed is appropriate.
  • Answer all incoming calls and tickets promptly and with exceptional service. Screen and route calls to the appropriate parties and process within OSU’s ticketing system.
  • Greet and welcome walk-in customers as soon as they arrive. Direct visitors to the appropriate person and office.
  • Provide/confirm pertinent employment details to lenders, mortgage companies, social service agencies, property management companies and others with a vested interest in the employee.

30% Time and Leave Administration
  • Audit and reconcile monthly timesheets and leave balances under the supervision of the Help Center Coordinator. Make adjusting entries as needed. Maintain professional and technical competency; stay current on new policies, procedures, and regulations. Ensure all deadlines are met.

15% Staff Fee Privilege
  • Provide timely and accurate processing, approval, and tracking of Staff Fee Privilege forms, ensuring all deadlines are met.
  • Respond to phone and email inquiries received about the Staff Fee Privilege. Collaborate with HR Help Center coordinator and central partners on unique situations.

10% Audits
  • Assist in running, distributing, reconciling, and tracking data audits related to employee and job records in multiple financial and human resources information systems. Audit data for accuracy, completeness, and consistency within University policies and standards. Ensure data integrity at all times. Disseminate audits to various groups (HR Support Services and Recruitment Services) and monitor for completeness. May make correcting actions in a variety of university systems as needed or required. May review for patterns in audit findings and recommend future training for Service Center teams to enhance accuracy and understanding data integrity.

5% Other duties as assigned
What You Will Need
  • Two years of human resources clerical support experience directly assisting human resources professionals in the administrative functions of a human resources program
  • OR
  • Three years progressively responsible administrative, clerical or record-keeping support experience.
  • College-level course work may substitute for the general experience requirement based on 45-quarter units per year.
  • Required Knowledge, Skills, and Abilities:
  • Exceptional customer service skills and the ability to communicate effectively in person, over the phone and via email.
  • Experience working in a fast-paced environment.
  • Exhibits self-motivation, the ability to multitask and pay close attention to small details.
  • Displays the ability to work in a collaborative and team-oriented environment.
  • Has a good understanding of basic computer skills and the ability to quickly learn how to use proprietary software.
  • A demonstrable commitment to promoting and enhancing diversity.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
  • Work experience performing duties in Human Resources Management in an institution of higher education, or comparable environment.
  • Work experience in a service center.
  • Experience handling difficult or distraught customers.
  • Experience auditing timesheets and leave accruals/balances.
  • Experience providing HR support in a union environment.
  • User-level experience with the following software, or comparable software: Online Position Description and Recruitment System; Sungard Higher Education Banner (HRIS module); Data Warehouse; Microsoft Access; CORE, EmpCenter, and ticketing systems.
Working Conditions / Work Schedule
This position will primarily adhere to a normal business schedule of 8:00 AM to 5:00 PM (M-F) on the OSU campus and may occasionally work away from primary work site. This position is in a typical office environment. There is potential for this position to be a hybrid of on-site and occasional remote work, as agreed upon with supervisor.
