Summary of Job Duties:

The HEI Program Coordinator is a 12-month, full-time position that serves as the administrative professional for the School of Nursing assisting the Director and Program Coordinators. Also responsible for supervision of secretarial staff, all budgetary components, faculty/staff files, faculty required documents and immunization records, scheduling of classes through the CBHHS central scheduler, assisting with travel planning for faculty/staff conferences, copier issues, and a myriad of other duties as assigned. This position is governed by state and federal laws and agency/institution policy.

Qualifications:

Required Education and/or Experience:

  • The formal education equivalent of a bachelor’s degree; 

  • Two years of experience in business office practices or program administration; 

  • Other job-related education and/or experience may be substituted for all or part of these basic requirements.

 

Preferred Education and/or Experience:

  • Experience with University technology systems including Boss, Banner, Web Now, Workday, or similar experience; 

  • Experience managing workflow in a multi-task environment;

  • Previous office administrative experience.


Job Duties and Responsibilities:

Administrative Support:

  • Operate and manage the School of Nursing office, including general duties such as preparing letters, filing, emails, phone, and receptionist;

  • Assist with the coverage of the front desk. Answers telephones, greets, and directs visitors, students, and staff;

  • Adhere to established office hours of Monday through Friday from 8 am-5 pm with a lunch break of one (1) hour between 11 am-1 pm;

  • Maintain proficiency in University computer programs and software applications;

  • Respond to inquiries from students, staff, faculty, the public, and direct inquirers;

  • Assist supervisor by maintaining leave records, and appointment calendar, and prioritizing incoming correspondence.

Grants, Contracts, and Budgets: 

  • Serve as the School liaison with the Office of Research and Sponsored Programs (ORSP);

  • ORSP paperwork on new and continuing grants/contracts;

  • Develop budgets and budget justifications for new or continuing grants;

  • Develop and maintain databases, spreadsheets, and other fiscal reporting mechanisms for the School of Nursing;

  • Maintain the department budget, initiate purchase requisitions, and monitor expenditures;

  • Assist in making travel arrangements for visitors, faculty, and staff and in filing for travel reimbursement;

  • Entry of time records, payroll-related documents, purchase orders, personnel action forms, and other procedural forms required by other entities on campus or sponsoring agencies of grants/contracts with the School;

  • Manage department affiliation and memorandum of understanding agreements with community partners.

HR Processes: 

  • Coordinate the department course schedule and instruction budget with the dean’s office, and textbook requisition with the bookstore;

  • Serve as a liaison with all adjunct and part-time faculty members;

  • Supervise work-study students;

  • Initiate PAPs for faculty, staff, and student employees, provide online timesheet entry for faculty and student employees as needed.

Reporting and Researching:

  • Assist in research and analysis of data pertinent to the School;

  • Assist in preparing reports, newsletters, outreach materials, and other documents;

  • Prepare, present, and review oral and written information and reports;

  • Manage the department lease and purchase contracts, including office equipment and office and supplies;

  • Performs other duties as assigned.

  • Ability to research and analyze related work program information;

  • Ability to develop, recommend, interpret, and apply policies and procedures;

  • Ability to analyze financial records and prepare reports;

  • Ability to plan, organize, and direct the work of others. Microsoft Word, Excel, Banner, and Workday experience;

  • Ability to work simultaneously on multiple projects and demonstrate organizational and prioritization abilities in accomplishing tasks.
