Position Summary:

The Higher Education Institution Program Coordinator is responsible for one or more academic or social programs at an institution of higher education. This position is governed by state and federal laws and institution policy


Duties & Responsibilities:

  • Work directly with the Associate Director of Financial/Federal Aid in support of Athletic Operations which includes effectively providing sports information guidance for the institution's NCAA Division program, in accordance with university, conference, and NCAA rules and regulations
  • Provide assistance and information for financial aid through processing applications, budgeting, packaging, adjusting financial aid per federal and state requirements, verifying data, answering phones, greeting visitors, interpret and explain federal and state regulations, policies and procedures. Management of completed counselor’s list of students to be awarded financial aid on a daily basis
  • Assist students in the completion of financial aid applications and verification forms, review documentation, and determine applicant status
  • Counsel students and provide accurate information concerning all financial aid opportunities for federal, state and institutional financial aid
  • Compose routine correspondence, type and process various lists and forms on a daily basis
  • Travel to A-State Degree Centers, two-year colleges and high schools to present information and offer presentations to a variety of populations including students, parents, faculty and staff. Presentations will consist of all areas of financial aid as well as collaboration with Transfer Coaches on recruitment events. Quarterly travel will be required to each A-State Degree Center. Occasional travel will be required to attend professional development workshops as well as federal, regional and state conferences
  • Compile and maintain on a daily basis a variety of statistical information related to financial aid from the advisor master list that is produced each day
  • A-State uses Banner/Ellucian as its student information system. The successful candidate will become proficient in navigating the system to ensure students are awarded properly and according to federal, state and university guidelines
  • Demonstrate a sense of collaboration and communication with the public, other departments and outside agencies and work within a team to provide financial aid information to our students
  • Other duties as assigned


Knowledge/Skills/Abilities:

Knowledge of the organization and administration of various higher education academic and social programs
Knowledge of campus and community resources
Knowledge of state, federal, and campus rules, regulations, and requirements related to campus academic and social programs
Ability to coordinate the activities of campus academic and/or social programs
Ability to evaluate collected information and formulate into recommendations
Ability to compile information into report form


General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance

Training: Offer training to students and parent concerning borrower's rights and responsibilities as well as provide programs concerning debt levels, consolidation and debt management
Travel: Travel required to A-StateJ, two year campuses as well as conferences and professional training
Must be able to:
• Learn the Financial Aid Application Procedure
• Maintain accurate and complete records for students
• Communicate effectively both orally and in writing
• Establish and maintain effective communication with others
• Be able to multitask and meet schedules and timelines
• Work confidentially with discretion
• Answer telephones


Minimum Qualifications:

The formal education equivalent of an earned Bachelor's Degree with a major in sociology, public administration, or related field
Two (2) years of experience in program administration or related area
Other job related education and/or experience may be substituted for all or part of these basic requirements upon approval of the qualifications review committee
