Job Summary

  • Assist in the coordination of didactic courses including teaching activities, conferences, and lectures, following best practices for learner groups and active learning activities. 
  • Correspond with lecturers/guest speakers to ensure access to course materials.
  • Maintain and update course information and communications through the Learning Management System (Moodle/CLE) and Curriculum Content Management System (Illios) including course records and files, enrollment, learning objectives, syllabi, and course schedule.
  • Responds to and resolves inquiries from students, teaching assistants, faculty online (SOP Education + OEIS Theme Team email accounts) and others regarding course and learning needs 
  • Maintain and track student attendance during mandatory didactic sessions. 
  • Reviews and monitors student attendance request forms to ensure requests are in compliance. Completes reporting for both student cohorts. 
  • Proctor in-person and remote assessments and provide on-site support for educational activities. 
  • Coordinate emergency iPad loaner program for faculty and students. 
  • Coordinate room reservations for S-918 and S-1112 using Event Management System.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.


Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training. 
  • Ability to think critically and solve problems individually and as a team player. 
  • Strong organizational skills, highly detailed, resourceful, and ability to successfully multi-task within demanding timeframes 
  • Ability to work in fast-paced, flexible, ambiguous conditions; ability to get up to speed quickly 
  • Ability to work independently, with general direction, as well as with diverse teams; Ability to work efficiently with virtual teams 
  • Responsive and acts with urgency and professionalism in an environment with shifting priorities

Preferred Qualifications

  • Strong computer skills with proficiency in standard office software including word processing, databases, presentation, graphics and calendars. 
  • Experience working in a university (preferably University of California) setting, preferably with high-level faculty and staff in cross-functional, interdisciplinary committees to plan and advance. 
  • Experience with Smartsheet, E*Value, Ilios, Learning Management Systems, Excel
