Job Summary

The incumbent will be responsible for the administration of the Neurology Pediatric Residency Training Program and a portion of the Neurology fellowship programs. Major duties of program coordination include independent responsibility and preparation of continued residency and fellowship program accreditation, management, and coordination of processes relative to medical education in the area of residency and fellowship selection, recruitment, rotation and on-call schedules, activities schedule, data collection, surveys, medical licensure and specialty (ABPN) certification for resident physicians. The Residency and Fellowship Program Coordinator performs a variety of difficult, specialized administrative support functions that require a thorough knowledge of the terminology, procedures, and practices for the functional areas, and responds through verbal and/or written communication to a wide variety of inquiries through interactions with faculty and administration, including the Office of Graduate Medical Education, Office of the Dean, Hospital Finance/Administration, and ACGME. The incumbent must maintain confidentiality and utilize discretion in decision-making and communications.

Additionally, the incumbent will be responsible for the administration and organization of the academic educational activities of both departments and will serve as the as primary coordinator of the Academic Day in the Department of Neurological Surgery and Grand Rounds Coordinator for the Department of Neurology.

Minimum Qualifications

  • Bachelor’s degree in related area and/ or equivalent experience/ training.
  • Experience planning, developing and coordinating complex schedules.
  • Management skills to plan, organize, and direct multiple simultaneous activities.
  • Planning skills to analyze program goals and objectives to make accurate short and long-term projections to establish program needs and resource requirements, and to secure potential sources of funds and revenues to meet those requirements.
  • Ability to exercise authority and direct and motivate others.
  • Planning, problem-solving and critical thinking skills to anticipate, avert and resolve issues of scheduling and task allocations.
  • Demonstrated skills to work independently with little or no direction.
  • Ability to effectively handle sensitive information and difficult situations and maintain confidentiality.
  • Excellent communication and interpersonal skills to communicate efficiently and effectively (both orally and in writing) with all levels of academic, administrative, clinical and staff personnel within the School of Medicine, campus, health system and outside agencies and institutions.
  • Demonstrated skill and ability to operate a software programs such as Microsoft Word, PowerPoint, Excel, and ability to use specialized software applications as MedHub as necessary for residency program administration and Webex and Zoom video conferencing platforms.
  • Ability to analyze complex data from a wide variety of sources and communicate to faculty, staff, and residents.
  • Excellent interpersonal skills and ability work effectively with a wide variety of people using tact and diplomacy.

Preferred Qualifications

  • Experience in graduate medical education preferred with thorough working knowledge of ACGME program requirements.
  • Experience working with trainees preferred (any level).
  • Master’s degree preferred.
  • Knowledge of ACGME requirements, ABPN requirements, University administrative personnel policies and procedures, preferred.

The Departments of Neurology and Neurological Surgery are clinical, research and academic departments within the UC Davis School of Medicine. This position is part of the central administrative team of both Departments and plays a critical role in driving the success of the educational missions of both departments.

Work Environment

  • Must be able to work 7am to 5:30 pm (10 hours) on Tuesdays with the remainder of the workweek on a flexible schedule to total a 40-hour work week.
  • Job involves moving around various locations on UCDH campus for weekly meeting and special event coordination. This will also include light lifting/pulling items for setup and takedown. The job will include several weekend/night working obligations for the coordination of special events for the residency program.
