Job Summary:

The University of Wisconsin-Madison Libraries seek an experienced and innovative Interlibrary Loan practitioner to manage the Interlibrary Loan department at our world-class research and teaching institution. The Interlibrary Loan Manager provides leadership and direction for the unit's daily operations, including coordination of ILL, digitization, and delivery services across campus libraries. This position is also responsible for administering and overseeing distance interlibrary loan and accessibility digitization services, ensuring equitable access to our collections. This position collaborates with ILL consortial partners in the Big Ten Academic Alliance (BTAA), State of Wisconsin, and others to provide robust and innovative services. The Interlibrary Loan Manager supervises four full-time support staff.

Responsibilities:
Coordinates the operations of a unit or service and dedicates the majority of time to supervision of unit staff to provide essential operational services in the unit's area of specialization. Coordinates input on policies and procedures, typically through committee work, to contribute to services and operations and assists in continual service improvement and innovation.
  • 25% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 30% Oversees day-to-day operational services in the unit's area of specialization
  • 5% Determines appropriate staffing levels and schedules employees to maintain quality service
  • 10% Sets quality standards and competencies and trains employees on changes. Assesses and adjusts as needed
  • 10% Improves processes, procedures, or services
  • 15% Resolves complex issues which may impact policies and procedures within area of specialization
  • 5% Advances librarianship or archives at the campus, local, and state level through committee participation

Tasks:
  • Oversee daily operations to ensure that interlibrary loan and resource sharing requests are processed and delivered promptly.
  • Solve complex problems related to systems and workflows within interlibrary loan and across library resource sharing units.
  • Supervise 4 FTE library assistants, supporting their daily work, training and career development, and long term unit goals.
  • Work with the Head of Resource Sharing to develop unit goals. Communicate unit goals to support staff and devise implementation strategies.
  • Gather statistics and provide summary reports on interlibrary loan activities.
  • Participate in library committees related to resource sharing to coordinate services across campus units.

Education:

Master's degree in library and information studies or related field is preferred.


Qualifications:

Required Qualifications:
- Experience working in Interlibrary Loan or Resource Sharing at an academic institution or research library.
- Experience supervising, leading, coaching, or guiding others.
- Ability to communicate effectively and build relationships with others.
- Experience using one or more of these systems in an academic or research environment: Alma Resource Sharing, Rapido, ILLiad, RapidILL, OCLC WorldShare ILL.
Preferred Qualifications:
- Experience streamlining processes and/or solving operational or logistical problems in a resource sharing work environment.
- Working knowledge of copyright law and fair use in libraries, particularly as it applies to photocopy or digital reproduction of print materials.
- Experience fostering partnerships and/or collaborating with colleagues at other institutions or across library departments.
- Experience processing resource sharing requests in Alma, ILLiad, and OCLC WorldShare ILL.
- Knowledge of trends in Interlibrary Loan or academic libraries, including copyright issues, consortial partnerships, and systems/software.


Work Type:

Full Time: 100%
This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
Onsite full-time for duration of training period; option to work remotely 1-2 days per week after 6 months.
Schedule: 8:00am - 5:00pm, Monday-Friday
