Materials Science & Engineering (MSE) has outstanding opportunities for a Grants Manager.

Reporting to the MSE administrator, the Grants Manager (payroll title: Program Operations Specialist) is part of the MSE administration staff, which is responsible for general oversight of facilities, operations and finance. This group also provides the management of core federal grants and state funds critical to MSE.

RESPONSIBILITIES:

Grant Management
• Set up new budgets and rebudget as necessary.
• Reconcile/review budgets monthly. Verify charges are appropriate and initiate corrective action when necessary. Perform transfer and transactions between internal and external budgets.
• Prepare journal voucher requests and reverse expenditures documents. Prepare documents for shared expenses, billing and recovery of expenses.
• Invoice in a timely fashion.
• Troubleshoot issues and escalate as necessary.
• Enter payroll appointments and fellowships on PI’s budgets.
• Ensure compliance with GCCRs.
• Prepare special reports as needed.
• Work directly with Principal Investigators on a recurring basis to present the financial status of each program and possible problem areas. Advise faculty on grant deficits.
• Oversee the preparation of appropriate forms for contracts and agreements.
• Develop comprehensive monthly budget reports to track revenue along with actual and projected expenditures.

Pre-Award
• Provide technical and fiscal administrative support to PIs to submit grants.
• Work with staff in Materials Science and Engineering, other campus units, and collaborative institutions to ensure successful proposal submission by exercising independent judgment when interpreting and applying sponsor, UW, federal, state and industry policies, rules and regulations.
• Secure documentation and satisfy report requirements related to grant cost shares and matching department support.

Post-Award 
• Provide fiscal, administrative and grant/contract support for individual research programs for the PIs. Act as a liaison with sponsors, subcontractors and other UW units.
• Manage and administer complex budgets including federal, university/industry cooperative, industry contracts and subcontracts.
• Interface directly with UW units, funding agencies and subcontractors to handle invoices, supplements, extensions, fiscal reports and compliance.
• Submit cost share reports and FEC reports timely to ensure compliance

Other 
• Maintain records according to sponsor, University and other guidelines.
• Pull numbers and data and present in report form for leadership.
• Other duties as assigned.

MINIMUM QUALIFICATIONS
• Bachelor’s degree or equivalent AND two or more years of experience with payroll, grant, or fiscal support. In addition:
• Demonstrated experience adhering to local, state, federal, and sponsor financial rules and regulations.
• Ability to communicate effectively and respectfully in-person, virtually, on the phone and in correspondence with diverse populations.
• Ability to team build and collaborate.
• Commitment to continuous process improvement.
• Demonstrated ability to adapt to new software and work effectively using Microsoft Office, including Word and Excel, and Adobe Acrobat, as well as virtual platforms such as Zoom and Microsoft Teams.

DESIRED
• Experience working in a higher-education setting.
• Experience using University on-line fiscal systems such as Workday, eTravel, eProcurement, PaymentNet, and MyFD.
• Experience using internal and external grant sites such as SAGE, grants.gov, FASTLANE, andGrantTracker.
