Responsibilities
- Seeks to improve and maintain processes for efficient grant management of sponsored awards.
- Working with Principal Investigators, faculty, and academics, manages all aspects of pre-award administration including proposal preparation, proposal budgeting, proposal negotiation, proposal acceptance, and award set-up.
- Works with a broad array of sponsors, interpreting regulations and guidelines of multiple program funding with broad and complex guidelines for spending.
- Manages all aspects of post-award administration including award budgeting, award negotiations, award set-up, award management, award reporting, and award closeout.
- Prepares summaries of grants and effort allocations for Principal Investigators, meets with them, and responds to their questions. Coordinates with other departments/units/divisions regarding multi-investigator grants.
- Serves as division contact for annual budget process and audits of sponsored awards.
- Approves all transactions charged to restricted and unrestricted accounts so that expenditures agree with account budgets. Approves and transfers payroll and expenditures, monitors invoicing and payments, and reconciles expenditures.
- Performs complicated cross-institutional work related to sponsored programs including IDC waivers, cost share and cost share waivers, award reporting, time, and effort commitments (PVRs), import/export controls, and foreign influence management.
- Interacts with University Research Administration, faculty, postdocs, and pre/post-award colleagues from other departments and sections, and Financial Services Office personnel.
- Along with the Director of Financial and Grant Services, trains administrative staff in the fundamentals of account management, including budget management, cost allowability, cost transfers, financial reporting, effort reporting, sub-awards, cost sharing, and the use of advance accounts.
- Ensures service and communication to PIs, standardized information, best practices development, and that all faculty and research staff are aware of any new grant policies and changes.
- Analyzes industry trends and remains current with agency and regulatory changes. Monitors department/ unit compliance with University, Divisional and Department policies and procedures and implements corrective actions for issues identified.
- Performs other related work as needed.

Education:
- Bachelor’s degree or related advanced degree.
Experience:
- Grant administration experience in a university or a not-for-profit organization.
- A minimum of five years of fiscal administration experience.
Technical Skills or Knowledge:
- Mathematical aptitude.
- Knowledge of Microsoft Office, financial computing, and database software applications.
- Create, maintain, and organize electronic files.

- Strong interpersonal, verbal, and written communication skills.
- Work closely with diverse constituencies including senior management.
- Independently complete projects on time and accurately; help from an expert may be required occasionally.
