This position is for the Department of Emergency Medicine, School of Medicine and covers the activities related to the full lifecycle of sponsored program administration including identification of funding sources, proposal submission, sub-award issuance, and post-award administration (both financial and non-financial) related to funding provided in the form of gifts, grants, cooperative agreements, and contracts from external/internal funding sources (e.g., federal agencies, state agencies, private companies, or foundations) that provide support for research.

Under direct supervisor, the specialist will assist with: submission of final reports, gathering Just-In-Time (JIT) material, and preparing Closing Memos. Account Reconciliation, drafting standard proposal documents including required forms, certifications, and budgets, MTA/DUA and other agreements, initiating requests for advance account numbers and sub-awards, monitoring end dates of projects/fund, prioritizing timelines/schedules through interpretation of potential funding opportunities, holding the proposal team accountable, and coordinating proposal development.



Job Summary

Performs pre- and post-award accounting duties for small grants and contracts. Prepares, negotiates, and monitors grants and contracts. Assists with maintaining award-related schedules, preparing government applications and reports, and policy and procedure interpretation. Monitors account activity and prepares routine financial documents.


Essential Functions 

Performs pre- and post-award accounting duties for complex grants and contracts under direct supervision.  

Prepares, and monitors grants, contracts, and budgets.  

Maintains award-related schedules, prepares complex government applications and reports, and interprets policy and procedure.

Monitors account activity, performs internal audits, escalates complex issues, and reviews routine financial documents.

Uses current accounting techniques and procedures for smooth operations and assists with managing special projects and preparing operating budgets. 


Physical Effort 

Little physical effort required. Duties are primarily sedentary.
