The University of Pittsburgh is ranked as the third-highest recipient of NIH funding with the Department of Medicine (DOM) receiving awards totaling 78% of what is received by the university. The Research Administration office (DOMRA) works with faculty and professional staff in the department’s nine divisions, two institutes, and two departments to guide them through the complex grant processes. While the majority of our proposals are submitted to the National Institutes of Health, our faculty also submit to numerous other government agencies, foundations, non-profit organizations, and industry sponsors. 

  The University of Pittsburgh is seeking a qualified Grants Assistant for the Department of Medicine. The incumbent will be responsible for processing funded awards through the account activation process. This position will also require accurate tracking and entering of funding data in databases. The ability to utilize automated accounting systems, Excel, and databases is required. This position requires ability to work independently and manage multiple tasks simultaneously. Attention to detail is imperative for this position.



Job Summary

Assists with routine accounting and financial functions for Grants & Contracts. Prepares routine documentation, verifies collected data, maintains documentation and databases as well as rosters and distribution lists. Assists with budgetary functions.


Essential Functions 

·        Process funded awards through the University of Pittsburgh complex activation process.

·        Enter all necessary grant budget information into multiple locations to receive a University account number to transition the grant award from pre-award to post award.

·        Enter new account activations into Department of Medicine database and internal software.

·        Set up and update grant account budgets in internal accounting software. Create electronic files for new projects.


Physical Effort 

This position requires the use of computer equipment and must be available during business hours. Some on-campus meetings and/or trainings may be required.
