Job Summary

The Grants and Research Administrator will provide pre- and post-award support to faculty within the Dornsife School of Public Health. In particular, this position will support pre and post award management for complex federal center grants and cooperative agreements that engage faculty across multiple departments within DSPH including the ComPASS Coordinating Center (C3) and Faculty Institutional Recruitment for Sustainable Transformation (FIRST) Initiative. In addition, this position will support pre-award proposal development and submission for faculty within DSPH as identified. Finally, this candidate will work directly with School’s Director of Research Administration to assist with schoolwide research initiatives, including communications, trainings, and reporting. The ideal candidate for this position will be familiar with various sponsored projects mechanisms and budgeting and ensuring compliance with sponsor guidelines in both pre- and post-award administration, while maintaining high-quality support to faculty.

Essential Functions

Post-Award
• Maintain portfolio for school-wide grants and cooperative agreements.
• Work with Research Accounting Services (RAS) with award set-up to ensure appropriate budgets are entered into Banner.
• Monitor expenditures on all budgets; meet regularly with PIs to review expenses and prepare projections on an as-needed basis but no less than quarterly.
• Manage all personnel and effort allocation on grants including hiring personnel, students and independent research contractors, and manage separations from employment.
• Manage and track all aspects of payroll including completing labor reallocations, processing summer salary for 9-month research faculty, and effort reporting.
• Assist faculty with other than personnel expenditures for assigned grant portfolio as needed including purchasing card reconciliations, SmartSource purchases, and travel expenditures. Complete journal entries as needed.
• Set-up and manage relevant subawards and other contracts. Ensure all invoices are received and paid in a timely manner.
• Collaborate with RAS on invoicing, financial reporting, and closeouts on all research awards.
• Work with ORI and RAS on subaward amendments, additional year funding, and NCEs.
• Maintain records for the department and run reports as requested for the Department

Pre-Award
• Assist faculty in preparing and submitting proposal budgets, budget justifications, and other documents required for internal research administration processes and approvals.
• Work with subcontractors to obtain required information, budget, and documents prior to proposal submission.
• Prepare application in sponsor-specific portal, such as ASSIST, Research.gov, Fastlane, Grants.gov, etc.
• Work with Drexel’s Office of Research and Innovation (ORI) to submit proposals when a PI’s proposal is ready for submission to the sponsor.
• Serve as a liaison between the PI and ORI’s Contracts Team during contract negotiation and award acceptance
• Work with ORI on award and subaward set-ups.
• Assist PIs on interim reporting and provide to ORI for any federal submissions.
• Maintain a calendar of upcoming proposal submissions.
• Maintain department records of all proposal submissions.

Research Office
• Work with the Director of Research Administration and the Associate Dean of Research on schoolwide projects to enhance the research enterprise.
• Support research administration training for faculty and staff in the school including development and delivery of training.
• Assist with school reporting and data collection to monitor research enterprise, including metrics, annual reports, and surveys.
• Support day-to-day operations of the Research Office, including research assistant supervision, consultants and other vendors engagement, travel arrangements, and training expenses.
• Assist in the development, dissemination and ongoing maintenance of DSPH Research Office communications including website updates, newsletters, quarterly award announcements, reports, etc.
• Other duties as assigned.

Required Qualifications

  • A bachelor's degree or Equivalent
  • 2-3 years of experience
  • Experience preparing complex multiple year budgets.
  • Experience preparing grant applications.
  • Advanced competencies in Microsoft Office.
  • Knowledge of accounting and budgeting principles.
  • Knowledge of sponsored projects policies.
  • Excellent verbal and written communications skills.
  • Excellent planning and organizational skills.
  • Ability to work independently.
  • Ability to work collaboratively within a team.

Additional Information

This position is classified as Exempt grade K. Compensation for this grade ranges from Minimum: $ 54,630.00 to a Maximum: $ 81,940.00 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
