Position Summary
Mile Square Health Center is seeking a Grants and Contracts Specialist to join their administration team. The Grants and Contracts Specialist is responsible for maintaining knowledge of grant submission and approval procedures, liaising with external funding agencies, assisting with planning and preparation of grant proposals, and post-award administration of grant-related projects.

Duties & Responsibilities

  • Assist Principal Investigators in preparing grant proposals including budget preparation, completing forms, obtaining signatures.
  • Serve as primary liaison between external funding agencies and responsible units to ensure accuracy and compliance with university, federal, state, and sponsor regulations.
  • Provide assistance with post award grant functions. Monitor financial status and program performance of grant projects.
  • Review proposals for college approval before submission to UIC Office of Sponsored Programs.
  • Maintain knowledge of grant funding policies, regulations, and procedures. Disseminate information to PIs and business managers.
  • Assist with development of grant-related resources for website.
  • Supports or oversees the administration of grants, contracts, and subcontracts; interprets and provides guidance regarding sponsor policies and regulations; contributes to the development, implementation, and analysis of policies, procedures, programs, objectives, and long-range planning related to research and sponsored programs; performs high-level research and provides reports and detailed analyses for administrative use.
  • Researches and identifies potential funding sources through various means and guides faculty and staff toward funding opportunities that match their needs.
  • Prepares and negotiates grant awards, contracts, and subcontracts in conjunction with faculty and/or researchers; collaborates with staff and key stakeholders to resolve issues related to sponsored grants and contracts.
  • Participates in the prioritization of internal grants based on merit, grant application planning processes, reviewing funding opportunity announcements, application instructions, grants submission documents, grant funding availabilities, budgets and allowable costs and/or other criteria.
  • Monitors, maintains and/or approves the financial status and program performance of the grant project; forecasts cash requirements, cash flow, and spending rates; monitors, prepares and/or directs the preparation of the fiscal reports.
  • Ensures all contractual requirements have been met; reviews, edits, and approves fiscal portions for the awards; completes the closeout requirements including a review of the final financial and technical reports.
  • Performs other related duties as assigned.
  • Minimum Qualifications

  • Bachelor's degree in business administration, accounting, finance, economics or a field related to the position
  • Additional knowledge, education, training and/or sponsored project experience in the area of specialization inherent to the position may be required:
  • Must have demonstrated experience with pre-award management and submission.

    Preferred Qualifications

    • Three years’ experience with pre-award grant management and submission.
    • Minimum two years’ experience in an office environment.
