Job Description Summary:
The Grant Manager will work closely with faculty and staff in the Family Medicine Research Division at the University of Kansas Medical Center Department of Family Medicine & Community Health to support the preparation and management of research grants across the department. The Grant Manager develops the business practices/ systems related to maintaining all grant financial records, management / compliance reporting, determination of expense eligibility in accordance with University / RI requirements and distributes periodic status reports to the Director and/or project leaders. The Grant Manager develops and maintains automated systems which accurately provide actionable information on project-specific budget variances analyses and project-specific expense forecasts. The Grant Manager is responsible for HRIS / stipend paperwork, timely requisitioning and receiving of all goods and services, reconciles credit card statements and responds to ad hoc requests regarding financial transactions. The Grant Manager, under general direction from the Research Division Director, Senior Administrator, & Assistant Director is responsible for determining and executing the most efficient, accurate and secure methods of personnel and financial management. The Grant Manager works with sensitive and confidential information and may be accountable for supervision of support staff.

Required Qualifications
Education: Bachelor’s degree in business administration, finance or relevant work experience that includes knowledge of academic or healthcare industries may be substituted on a year-for-year basis.
Work Experience:
Computer experience including Microsoft Office Suite.
Experience in developing and implementing standard operating procedures, transformation, loading of data, and running reports.
Experience working in project-orientated, matrix-managed organizational structure.
Work history that includes managing and implementing project plans.
Previous experience communicating with a variety of constituents both within and outside of an organization.
Excellent communication as evidenced by application materials.
Preferred Qualifications
Education: Master’s Degree in business, finance or accounting.
Work Experience:
Prior work experience in a public higher education institution, a research university or related entity.
Experience implementation systems and process improvements to enhance efficiency and productivity.
Experience in working in and creating paperless processes.
General knowledge of the overall research revenue cycle process.

Job Duties Outlined:
Supports the Research Division Director and Project Directors with the administrative functions including but not limited to, Human Resources, Compliance, reporting. Must possess the ability to understand the overall operation and ensure that financial support and accountability exist to enable those missions.
Provide direction, support, and make recommendations to maximize use of funds and ensure all research operations (departmental, grants, projects) remain within budget. Develop and maintain timely and accurate financial statements and reports including State, Research Institute, Endowment and Grant accounts.
Responsible for grant and contract pre-award and post-award administrative activities, including completion of funding agency proposal documents; creating detailed budgets; work closely with the principal investigators to gather and maintain all additional materials to be submitted in the proposal packet. Develops budgets for various grants and research projects, including funding from all sources (state, grant, gift, etc.).
Helps develop grant applications, ensuring the technical and structural compliance of all applications with all requirements of the granting agencies, timely submission, and generation of reports. Provides technical assistance regarding post-award management on an interdepartmental basis including support to KUMC Research Institute, PeopleSoft IT, and other grant accounts management personnel.
Prepares and manages budgets for grant applications. Acts as the lead person for the creation and tracking of the research budget for the department including preparing research related budgets and analyzing and preparing documentation for all external research funds into a budget spreadsheet.
Compiles financial data necessary to manage grant budgets pre and post-award; coordinates comprehensive assembly of financial data including grant expenditures, payroll, interdepartmental billings, encumbrances, etc. for both KUMC and KUMC-RI accounts. Run monthly report for grants, quarterly (or as requested) reports to PIs. Summary and line-item reports created monthly.
Reconciles all grant expenditures for accuracy and consistency with allowable expenditures specific to each grant in accordance with applicable University and RI restrictions.
Conducts compliance/audit reviews with granting agency expenditure guidelines and reports results to Director as required.
Actively assists in identifying new grant opportunities and disseminating information out to potential Pls. Researches the specific requirements of each grant opportunity. Fields questions and assists Pls as needed.
Responsible for the accounting oversight of processing of all grant requisitions in an accurate and timely manner for supplies, equipment and services and maintains appropriate accounting records including integrity of object codes, account codes, compliance issues, in terms of grant and other account compliance rules.
Oversees billing and reconciles credit card and other statements with organizational accounts and budgets, as needed. Maintains current knowledge of restrictions, practices, and documentation requirements.
Maintains current working knowledge of State of Kansas, KUMC, KUMC-RI purchasing policies, protected vendors, software registration requirements. Maintains a proficient skill level with WorkDay, QlikView, and other financial management systems. Maintains a proficient skill level with advanced features of spreadsheet application software.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
