Job Description Summary:
Support pre- and post-award grant administration of a portfolio for a particular department/college or program. Work with faculty and staff to research, review and ensure grant proposals are compliant with institutional and sponsor policies, procedures, rules and regulations. Coordinate internal communication throughout the lifecycle of the award to ensure accurate and complete records are maintained.

Required Qualifications
Education: Bachelor’s degree in a relevant field of study (accounting, business or life sciences). A combination of education and relevant work experience may be substituted for degree on a year-for-year basis.

Work experience: One year of relevant experience.

Preferred Qualifications

Education: A master’s degree.

Work experience: Three years of relevant experience.

Skills:

  • Effective analytical and problem-solving skills

  • Ability to prioritize and organize work accordingly.

  • Proficiency with programs such as Word, Excel, Adobe, and database software.

Job Description – Essential Job Duties

  • Support the Award Management team in managing award functions and processes in mySponsored Projects, in particular the process for setting up new awards.

  • Serve as the main coordinator (with backup) of the limited submissions process.

  • Disseminate funding opportunity announcements.

  • Create and maintain accounts for KUMC staff,

  • Respond to requests for Other Support and similar information,

  • Assist in communications and training functions.

  • Assist department in maintaining records in accordance with the record retention policy.

  • Assist in managing departmental email inboxes.

  • Provide support for special projects as needed. 

Award Set-up and Modification

  • Supports the Award Management team as needed with mySponsoredProjects functions.

  • Sends announcements of new or renewed awards to relevant personnel, via either email or the weekly faculty research digest.

  • Coordinates with Award Management team to ensure announcement information is timely and accurate.

Limited Submissions

  • Searches for and reviews incoming funding opportunities to determine if they involve limited submissions.

  • Creates and disseminates announcements of these opportunities.

  • Provides information and assistance for applicants, as needed;

  • Collects pre-proposals and submits them to the Associate Dean for Research for review; communicates the outcome to all applicants; and coordinates with KU-Lawrence in cases where the sponsor regards the two campuses as one organization.

Funding opportunity announcements

  • Reviews and screens funding opportunity announcements that arrive in the SPA inbox.

  • Posts appropriate announcements in the Viva Engage community “KUMC Sponsored Programs Research Funding & News,” plus other venues as appropriate.

Faculty and institutional accounts (i.e., eRA Commons, NSF, EBrap, SAMS, MTech, etc.)

  • Responds to requests for new accounts or changes to existing accounts.

  • Maintains records of requests and communications from the Commons system.

Other Support and similar information

  • Responds to requests from faculty or staff for Other Support or similar reports or information.

  • Participates in projects or discussions to improve or supplement the databases that provide this information.

Communications and training functions

  • Serves as a member of the group meeting regularly with Research Administration Communications and Training staff, to discuss and implement communications strategies, website additions or changes, and training materials.

  • Provides feedback, information, or written content as necessary, including soliciting information from other SPA teams. Helps with the process of pilot-testing and refining materials.

Departmental inboxes

  • Assists in managing departmental email inboxes, such as the SPA inbox, the SPA OPS inbox, and the mySponsoredProjects inbox.

  • Respond to messages and/or route to the appropriate recipient.

Special projects

  • Assist all SPA teams with special projects, including but not limited to those involving data review or entry, reorganization or culling of electronic records, and support during transitions from one system or process to another.

  • In coordination with the Assistant Director for Data Management & Effort Reporting, provides support for, and/or completes independently, projects involving reports, reviews, or correction of data in Workday or the Huron Research Suite.  

Process Improvement & Other Duties as Assigned

  • Recommends changes and presents ideas to improve communication, processes, accuracy, and customer service. Works closely with SPA team members to accommodate system upgrades and streamline processes.

  • Attends training for new Workday systems, Sponsored Programs Administration trainings, and other KUMC trainings that benefit the employee, position, or department.

  • Participates in information and planning meetings on key issues as related to pre-award and award management processes.

  • Provides support for, and/or completes independently, projects involving reports, reviews, or correction of data in Workday or the Huron Research Suite.  

  • Additional duties as may be assigned.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
