What we want

The Grant Administrator II provides support for grant initiation for post-award administrative paperwork leading to account establishment. Develops sub agreements and reviews budget submissions before final approval. Acts as liaison with compliance committees.

Required Education and Experience:

  • Bachelor’s degree in business or equivalent combination of education and experience.

  • Five years of related experience in finance, grant administration, and/or data analysis and accuracy.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Excellent written communication, analytical, interpersonal, and organizational skills.

  • Ability to work in a high stress environment.

  • Ability to work with sensitive information and maintain confidentiality.

  • Ability to work independently once given a project.

Preferred Qualifications:

  • Experience with Concur, AggieBuy, Canopy, Wheelhouse, Workday, CMS.

Essential Duties/Tasks

Research and Grants Administration

  • Works with RGSO and VPR-TAMU to monitor and control operating expenditures; makes projections on all research and grant accounts.

  • Works within Maestro.

  • Reconciles and balances accounts monthly.

  • Processes and monitors Summer Faculty – Payroll, Cost Share and Re-budgets.

  • Processes expense corrections associated with Research/Grant funds.

  • Processes all paperwork before accounts are overspent or end date of grant.

  • Assists in the development of annual Research budget documents for approval.

  • Serves as unit resource to principal investigator(s) for grant development, administration, and reporting.

  • Monitors payroll on research accounts. Monitors certification of Time and Effort to meet state and federal guidelines. Ensures all certifications are current and filed within appropriate deadlines.

  • Processes account reconciliations of research accounts. Monitors and controls all fiscal administration and activity associated with Sponsored Research Services.

Principal Investigator (PI) Support

  • Works with and advises PIs and VPR regarding Insurance Policies, Boat Insurance and Service Contracts; monitors equipment associated with each. Processes renewals.

  • Assists RGSO/TIO with issuance and monitoring of Undergraduate and Graduate Awards and Research Development Funds.

  • Creates and maintains paperwork associated with issuance of credit cards, fuel cards for PIs. Researchers, Research Invoices, orders, and contracts. Works with PIs and researchers on orders for lab supplies and chemicals.

  • Monitors and maintains paperwork associated with management of research capital equipment purchases to include purchase orders, asset number.

  • Serves as resource and interprets for the department System policies and regulations and University rules.

Personnel Administration

  • Assists PI’s with graduate student Summer status and payroll. Works with human resources to monitor and process payroll changes.

  • Creates RPARs associated with recruiting new employees. Performs Check-in and Check-out Procedures, payroll changes, and terminations of employment on research and grant accounts.

  • Creates all paperwork associated with hiring of Research Student Workers. Maintains postings, payroll changes, and title corrections of research related personnel.

  • Oversees student workers, interns, and sometimes graduate students on projects as well as departmental training of new employees on procedures and regulations.

  • Tracks and aids international researchers and graduate students regarding immigration documents and expiration dates. This includes preparation of all required forms.

Revenue Management

  • Identifies, establishes, and implements the internal departmental procedures and controls necessary to assure maximization of TEES, TEEX, TAMU, TAMUG, State of Texas, Federal and private resources.
