Under general direction, the Grant Administrator I is responsible for overseeing grants flow process, documents procedures and process implementation including approvals.  Identifies foundation grant prospects for each unit.  Administraters all components of the grants cycle, including database management, grant documentation, grant compliance and deposit processing.

  • Identifies private grant prospects; compiles data; inputs and retrieves data via computer. Helps assemble documents to ensure meticulous, complete proposals and report packages. Alerts and coordinates with the Office of Research and Economic Development (ORED) personnel on research proposals that willbe submitted through Advancement and FIU Foundation.
  • Maintains funding opportunity databases, activity tracking system, and related confidential files. Thoroughly documents proposal/report submission, donor cultivation, etc. in Blackbaud database. Ensures funder updates are logged in the Blackbaud database.
  • Conducts research on potential funding sources; (identifying new Private  funding prospects and RFPs; preparing reports and making recommendations on promising donors; and maintaining organized research files); maintains contact with external agencies.
  • Helps create tools and procedures to track Foundation funding prospects, current and past opportunities, and workflow. Collaborates with the Sr. Executive Director of Foundation Relations to identify strategies for optimizing use of fundraising CRM and other software (including project management tools) to manage portfolio and long-term projects.
  • Tracks meetings and Site Visits of the Sr Executive Director of Foundation Relations with Private Foundation funders and assists in ensuring regular communication with them throughout the year.
  • Works closely with the Development team and staff in ensuring fundraising synergy  to maximize opportunities; interacts with campus constituencies involved in grant-funding activities; serves as departmental liaison to University grants administration.
  • Maintains comprehensive knowledge of particular areas involved in identifying and soliciting grants. Liaise with program, data/evaluation, and finance staff to gather information for proposals and reports.
  • Manages active grants. Works with principal investigators and the Office of Research and Economic Development (ORED) to ensure that grant activities and expenditures are in compliance with University and funding agency requirements, and facilitates budget revisions as necessary.
  • Creates and maintains an efficient master grant calendar for existing Private Foundation funders, including due dates for applications and reports, and maintains shared files for active and past grants. Will assist in developing and tracking cultivation timelines for new prospects.
  • Coordinates project activities to include donor, member, and Advisory Board cultivation and stewardship events and meetings; prepares and processes letters and correspondence, presentation materials, and manuscripts. In collaboration with the Sr. Executive Director of Foundation Relations, drafts End of Grant Reports, Acknowledgement Letters, Stewardship Reports and other cultivation materials as needed.

 

Bachelor's degree and one (1) year of related experience; OR five (5) years of related experience ; OR an equivalent combination of relevant education and/or experience.

  • 2-4 years of nonprofit experience preferred (ideally in advancement)..
  • Advanced systems skills, especially experience with donor and grantmaking software (Fluxx, Blackbaud) and Excel.
  • Ability to implement effective workflow processes and procedures.

 

Administrative

Starting at $50,000 and commensurate with experience.
