Job Summary:
This position supports the Office of Research Administration by managing payroll entry, tracking, processing, reporting and correcting errors for grant accounts.  This position will cross train and serve as back-up for accounts receivable in research administration. Other clerical duties include managing inventory and purchases related to office supplies and staff needs.  
Primary Job Duties and Responsibilities:

  • Receives and processes all restricted fund PAFs created by other units. Communicates and coordinates with originating units, Payroll, Human Resources, and Office of Fiscal Planning to resolve problems. Enters data into SOARHR. Reviews error reports, identifies problems with restricted fund data, determines a solution, and updates data under significant deadline pressure.
  • Responsible for tracking, processing, and reporting salary recovery from grants, semester salary distribution, Faculty Research Incentive Program, Salary Verification and correcting salary errors.
  • Provides administrative support to all ORA functional areas by maintaining files, uploading or downloading documents, creating and maintaining reports or documentation and ordering office supplies. Prepares and maintains purchasing documentation, including Pcard transactions. Contacts vendors, USM staff, or others to resolve problems or concerns.
  • Cross train with accounts receivable to process accounts and confirm payments follow polices and procedures. Perform financial transactions including posting and recording accounts receivable data, and preparing bills and invoices.
  • Performs other duties as assigned.
  • Minimum Qualifications:
    Associate degree in business, management, accounting or related field.
    At least two years’ experience in an office or other setting with a customer service focus and/or equivalent combination of education and experience.
    Knowledge, Skills, and Abilities (KSA):

    • Skilled user of MS Office; Experience with financial software and managing budgets
    •   Strong project management and time management skills
    •   Highly detail oriented and with strong organizational skills
    •   Must be able to work under pressure and meet strict deadlines
    •   Must be proactive, resourceful and self-motivated
    •   Proficient interpersonal and communication skills
    •   Knowledge of standard office administrative practices and procedures
    •   Ability to maintain confidential information
    • Ability to handle sensitive matters with tact and discretion
    •  Professional demeanor, integrity, tact and good judgement.


    Preferred Qualifications: 
    Bachelor’s degree from an accredited college or university in business, accounting, management, or related fields.  USM administrative experience, including SOARFIN and SOARHR
