Job Summary
Coordinate the graduate student support processes for a major department. Provide excellent customer service to students to enhance the graduate student experience and assist with the continued development of graduate student program growth.
Minimum Education and Experience
Associate’s degree and four or more years of administrative office experience in an academic office, or any equivalent combination of education and experience. Excellent computer skills with various software programs and ability to work with specialized databases. Outstanding customer service skills required.

Bachelors Degree Preferred
Essential Duties and Responsibilities
Liaison with Enrollment Services. Create applicant files through OnBase and Orion, track to completion, and correspond with applicants. Prepare applicant lists for and liaison with Graduate admissions Committee, Graduate Program Head and department head. Submit recommendations for scholarships. Enter decisions in OnBase. Track Teaching Assistants (TAs) and Research Assistants (RAs) awarded, provide list to the Dean’s Office and others. Maintain GTS, stipend awards, admit dates, etc. by student. Assist faculty with TA assignments; prepare and process TA/RA evaluations each semester. Process forms and schedule qualifying exams. Solicit course requests/approval, renew Graduate Catalog and Graduate Course inventory. Register students/resolve holds. Liaison with Graduate Advisor and Program Head. Maintain copies of graduate files and track student progress for graduation. Provide dissertation/defense assistance and scheduling. Prepare certifications for graduation and update alumni record each semester. Track applicable “18 Characteristics of Texas Public Doctoral Programs” information. Complete other projects and other duties as assigned by department head or ASO.

Mandatory Testing and Daily Health Check:
In order to combat the spread of COVID-19 all UTD Faculty, Staff, and Students are required to:
  • Enroll in and complete a Daily Health Check each day, regardless of vaccination status.
  • Participate in the University’s mandatory COVID-19 testing program.

Newly hired employees will be automatically enrolled in University’s testing Program. Thereafter, the university will test a sample of the UT Dallas Community as part of its proactive testing program.
A remote work schedule is not available for this position.
