This position is responsible for assisting the Office of the Registrar in all aspects of administering programs and students under general supervision with a primary focus on graduate studies. Responsibilities include supporting items such as registration, degree audits, degree exceptions, and degree conferrals. The Lehigh community takes seriously our commitment to antiracism and The Principles of our Equitable Community.

This position is a Grade: 7-37.5 with an approximate salary range of $36,090-43,330 and is subject to change based on experience, skills and qualifications

1. Student Registrations
*Process course withdrawal requests as submitted by students
*Assist students, faculty, and staff with questions related to registration procedures, including drop/add requests, required petitions, and overload requests while following the Rules and Procedures of the Faculty

2. Coordinate the Student Petition Process
*Enforce policies and advise students on procedures for submitting petitions
*Analyze and review student petitions for accuracy and completeness
*Collect graduate student petitions, create meeting agenda, and distribute petitions and agenda to the Standing of Graduate Students (SOGS) Committee for review
*Execute changes to academic records as required by the graduate committee actions; generate letters to notify student and relevant parties of petition outcome
*Update student academic records as needed to reflect academic and disciplinary actions and complete all corresponding registration changes. Create appropriate annotations for academic transcripts
*Process all graduate University withdrawal, leave of absence, and readmission notifications
*Adjust student academic standing as determined by the individual graduate programs at the completion of each semester

3. Administrative Duties
*Serve as a direct point of contact for office visitors, calls, and live chats; triage inquiries as needed
*Assist with management of the department email account, responding to messages or forwarding as needed
*Provide training and back-up support for the Administrative Coordinator
*Assist other staff as needed with daily operations, heavy workloads, and special projects to keep the department or office functioning smoothly and efficiently
*Assist in the annual Awards & Prizes process
*Contributes to the Office newsletter
*Other duties as assigned

4. Graduate Student Support
*Provide support in processing graduate degree exceptions and waivers in the degree audit software
*Serve as a back-up for Lehigh transcript production processing
*Provide support for grade changes
*Provide support to students, faculty, and staff in reading and using degree audit software
*Support graduate degree clearance: review records, assist with data entry, process diploma address changes, and assist with the diploma order submission
*Verify eligibility and complete data entry for all graduate full-time certifications

Qualifications

High school diploma or the equivalent combination of education and experience; Associates Degree preferred

Three to five years related work experience

Excellent communication skills

Strong organizational, analytical & interpersonal skills

Demonstrated excellent writing and editing skills with strong attention to detail

Perform administrative responsibilities including taking notes during meetings, preparing correspondence, and managing files

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
