Departmental Overview

The College of Engineering at UC Berkeley is recognized for its educational and research excellence, consistently ranking among the top three Engineering colleges in the United States.  With more than 250 regular faculty members, 1,700 graduate students and 2,700 undergraduate students located in seven academic departments, Engineering is the second largest college on the Berkeley campus. Operating expenditures for the College as a whole exceed $190.5 million annually.  Research expenditures amounting to 25% of campus total are administered separately by the Engineering Research Support Organization.

EECS is one of the largest Departments on the UC campus consisting of over 130 faculty, adjunct, active emeriti and PIR appointments, more than 3000 undergraduates between the College of Engineering and Letters and Science, more than 800 graduate students, and 65 staff members.

The incumbent is one of the department’s contact for applicants, new students and faculty regarding graduate admission involving more than 6000 applications annually for all the graduate programs. The function of this position is to process and evaluate admission applications of EECS higher degree applicants.  This individual will act as a liaison to the faculty regarding the admission process and procedures, coordinate recruitment of top admits, and assist with continuing graduate student matters.

This position involves a wide range of student services duties and responsibilities for an academic department/school/college or organization. The incumbent provides assistance to the dean/chair, faculty, and students in academic advising, recruitment, admissions, financial aid, student orientation and events, career counseling, and related programs.


30%  Academic Advising: Identifies and refers for resolution intricate student issues/grievances such as alleged discrimination, complex grade dispute issues, and students' personal crises; recommends petition exceptions that affect the requirements of multiple departments; facilitates new course approval through interaction with the Coordination of College Policy, Academic Senate, or similar organization.

  • Advise continuing graduate students on all aspects of their degree programs such as registration and enrollment, policies and procedures, degree requirements, petitioning for exceptions, administrative issues, personal issues affecting studies, departmental and campus programs and graduation.
  • Monitors student progress, updates and manages student records and graduate student database.
  • Serves as the main point person for communication between the graduate students and the university. Keeps graduate students informed of important dates and deadlines as well as relevant department and university news.
  • Provide counseling, support and reference to other university resources as determined necessary. Exercise judgment with respect to confidentiality and sensitivity of student issues and concerns.
  • Act as liaison with other campus offices for students with problems/conflicts.
  • Recommends resolutions of student issues and/or grievances to Director and Vice Chairs of Grad Matters. Approve, deny or make recommendations regarding petitions and requests to the Vice Chair as needed.  On behalf of the Vice Chair, compose correspondence including verification letters, completion of degree requirements, petitions for exceptions, exemptions or extensions.  Exercise designated signature authority on appropriate Graduate Division forms.
  • Advise faculty on policies and procedures on all aspects of graduate students regarding the degree program.
  • 30%  Advising and Admissions: Advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; utilizing in-depth knowledge of the organization's admissions criteria, helps rank applicants for admissions; evaluates domestic and international transcripts for degree eligibility; initiates and arranges student recruitment visits to Berkeley.

    • Advise prospective graduate students (both walk-in and scheduled appointments) on the nature of the department’s graduate program; the admission process; deadlines, department and University policies, requirements and procedures. Suggest alternatives to those whose stated goals might be better served in another department, on another campus, or through UC Extension or an exchange program.  Advise applicants during the application review process.  Review and prioritize arriving correspondence and documents and determine action needed.  Respond directly to inquiries.
    • In collaboration with the Masters Student Advisor and Graduate Admissions Coordinators, assist in all phases of the annual EECS graduate admission process which includes approximately 6000 applications for all graduate degrees.  Receive and organize documents for future retrieval, for admission, reactivation, readmission and change of major/degree applications and petitions.  Assist in preliminary screening of applicants.  Interpret and apply campus, Department and Graduate Division policies related to admission eligibility.  Evaluate files of applicants with degrees from both U.S. and international institutions. Analyze, interpret and apply policy set by Graduate Division to determine the equivalence and verify authenticity of academic credentials.  Assess validity of requests for exceptions to regular policies and procedures.  Identify and refer any documents that appear altered or fraudulent to the International Analyst in Graduate Division.  Using a variety of grading scales, calculate and review grade point average to determine that the student meets the minimum level of academic achievement set by Graduate Division.
    • In collaboration with the Masters Student Advisor and Graduate Admissions Coordinators, act as a liaison with Graduate Division for the EECS faculty.  Participate in the preparation for and attend admissions committee meetings.  Advise faculty regarding relative strengths and weaknesses of applicants.  Interpret Graduate Division policies and procedures, answering questions posed by the committee. On behalf of the Vice-Chair, on recommendation from the Admission Committee, make recommendations for admission, readmission and deferral to Graduate Division. Analyze, justify and recommend exceptions for non-routine applicant admission.  Compose petitions for admission exceptions to eligibility requirements. Inform successful candidates of their admission recommendation and denied applicants of the departments’ decision.  Based on independent knowledge of departmental and Graduate Division requirements for admission, make recommendations and forward applications suitable for formal appeal and reevaluation to the Vice-Chair.

    30%  GSI Staff Coordinator: Apply intermediate knowledge of policies, and procedures to complete tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate action. Using professional UC Academic HR concepts, apply campus and/or system wide policies and procedures to resolve a limited range of Academic Student Employee (ASE) issues. Exercise independent judgment within defined procedures and practices to determine appropriate GSI hiring actions.  Assist with administering policies and programs in recruiting, instructional labor relations, wage and salary administration, and training. Assist with management of GSI course assignments, and work with Departmental Faculty GSI Advisors to meet University requirements for training of GSIs.  Handle exceptional cases, and recommend GSI assignments in special cases after routine assignments have been completed.  Maintain and update GSI database.  Recommend GSI assignments factoring in relative classroom strengths and weaknesses, and course subject-matter knowledge of individual GSIs as matched to course content and instructor. Provide statistical and tracking date for departmental leadership. Participate in annual reporting and planning.

    Advise prospective Graduate and Undergraduate students on the GSI application process and appropriate courses for them to serve.  Advise faculty of qualified, competitive, and high-priority GSI applicants for their courses.

    5%   Special Projects: In collaboration with other staff and faculty, coordinate special projects.  This may include compiling reports involving large amounts of data and creating surveys, and assisting with the implementation of special events (such as Visit Days and the New Graduate Student Orientation).

    5%   Participates in professional student services committees that develop policies/procedures with nationwide impact.

    Required Qualifications

    • In-depth knowledge of the field's post-degree employment opportunities and practices.
    • Interpersonal skills. Multicultural competencies; ability to work with diverse populations.

    Preferred Qualifications

    • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
    • Bachelors degree in related area and/or equivalent experience/training.
