Job Description

Under general supervision, the Graduate Recruitment Program Coordinator will coordinate activities and functions necessary to successfully steward programs in the Graduate Office of the School of Life Sciences (SOLS). SOLS seeks a high performing, positive, and proactive service-oriented individual with excellent attention to detail to work with our diverse group of graduate students. An ideal candidate will assist with implementation of our various programs goals and objectives and think creatively to improve processes and functions within the school’s graduate activities. A strong candidate will be comfortable and adept at providing guidance and program-related administrative support to the faculty and its leadership. This position will allow for opportunities for advancement and professional growth.

Essential Duties

  • Serve as back up on incoming office communications (phones, foot traffic into suite, SalesForce).
  • Plan, organize, and coordinate events for the SOLS graduate office, including graduate recruitment weekends, alumni panels, career fairs, awards ceremonies, orientation events, and research conferences.
  • Review and maintain student records using internal and external systems (iPOS, Graduate Application Review System, Microsoft Office, Peoplesoft, Google sheets, Canvas, etc.), provide data as requested.
  • Work closely with graduate and undergraduate faculty/staff/administration on managing student records and communications.
  • Attend various recruitment events the office represents and prepare any items needed for event ahead of time.
  • Advise and manage substantial annual application review process, downloading and sorting applications, making them accessible to faculty, updating tracking sheets for faculty, and sending notices for each application; delegates tasks as needed to team.
  • Work with other SOLS offices to ensure that all grad office documents abide by university policies. Take primary responsibility for producing attractive and compelling materials for recruitment and other events.
  • Provide guidance and logistical support for graduate student organizations (E-Board, MGSA and GPSE) and Program Directors, as they plan events such as retreats, seminars, workshops, and outreach efforts.
  • Perform additional duties as assigned.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment and three years of related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience in working effectively in an environment subject to changing priorities, tight deadlines and potentially conflicting outcomes.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%).
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (15%).
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
