The School of Design at Carnegie Mellon is among the oldest and most respected programs in North America. We have a rich history in the design of products and communications, a new track that focuses on design for environments, and we were one of the first programs to offer a master’s degree in interaction design. Our programs enroll approximately 250 undergraduate and graduate students from a variety of backgrounds, inspired by a wide range of motivations and career ambitions. Ours is one of the only leading design programs to offer degrees at the undergraduate, graduate, and doctoral levels within a top-ranked multidisciplinary research university.


We are now seeking a Graduate Program Coordinator to join our team. In this role, you will provide administrative support for the masters and doctoral programs in the School of Design, to ensure efficient and effective operations and a positive student experience. You will support three masters programs and one PhD program. Masters programs consist of the Master of Arts (MA) and Master of Professional Studies (MPS), both one-year degrees; and the Master of Design (MDES), a two-year program culminating in a thesis project. The doctoral program consists of a four-year PhD culminating in a dissertation. There are approximately 45-50 students across the three masters' programs, and 15-20 PhD students in the School. You will report to the Head of the School of Design and work in close collaboration with the Director of Graduate Studies and the Director of Doctoral Studies.


Working in close collaboration with the Directors, your primary duties through a typical cycle of the academic year include:


  • Act as first point of contact for masters/doctoral students

  • Answer inquiries from prospective masters/doctoral students, and forward to directors as appropriate

  • Plan visitors' days, and schedule ad hoc campus visits

  • Coordinate masters/doctoral admissions process

  • Support new incoming masters/doctoral students throughout the process of enrollment and orientation

  • Coordinate the assistantship assignment process for masters students

  • Coordinate doctoral progress reviews and intensives, and support their delivery

  • Support the director in allocating teaching assignments to doctoral teaching fellows

  • Plan masters thesis presentations/reviews, program meetings, orientation, and other events

  • Coordinate the masters thesis submission process and maintain thesis archives

  • Coordinate the doctoral examination process

  • Provide students with guidance and monitor academic performance, relaying critical information to directors

  • Maintain record of doctoral advisory committees

  • Work with the directors on setting policies and procedures

  • Annually update the masters/doctoral student handbooks, and thesis/dissertation guidelines, for directors' review and approval

  • Create masters/doctoral calendar for the upcoming year for directors' approval

  • Certify masters/doctoral students for graduation

  • Conduct exit interviews with graduating students and summarize results to directors and head

Qualifications:

  • Bachelor's degree required

  • At least 3+ years of relevant experience in academic program management/advising
