Position Summary
Manage and coordinate all aspects of assigned programs. Provide oversight to Program Directors and faculty to ensure students reach all milestones in a timely manner. Understand, interpret and articulate the policies and guidelines of the programs, DBBS, Arts & Sciences Office of Graduate Studies and University.


Job Description

Primary Duties & Responsibilities

  • Manages student progress through all phases of graduate school - recruitment, admissions, advising, lab rotations, thesis lab affiliation and research progress, qualifying exam, thesis committee formation and management, thesis defense and graduation.
  • Serves as a representative and advisor for graduate students.
  • When faced with performance or personal issues, identifies when Program Director, Associate Dean, Student Health or Office of Graduate Studies are to be notified about an issue and steps to resolve the issue (counselor, tutor, additional courses, etc.).
  • Manages and coordinates all program activities, including recruitment visits, entering class orientation, overnight retreats and special events, responsible for financial contracts for retreats and events.
  • Oversees allotted yearly program funds to ensure monies are used appropriately, cost effectively and ensure all program objectives are met within set budget (program budgets ranging from $36,000 to $105,000).
  • Ensures FERPA guidelines are followed and protect the integrity and confidentiality of student’s official University record.
  • Manages all student milestones in the Arts & Sciences Office of Graduate Studies portal and student information in the DBBS database and electronic files.
  • Performs other duties as required.


Preferred Qualifications

  • Bachelor’s degree and academic administrative experience.
  • Strong personal interaction and communication skills are essential, in addition to the ability to determine priorities and manage multiple tasks efficiently.
  • Critical thinker and identify and resolve problems with students and faculty using good judgment and available resources effectively.
  • Attention to detail critical.


Required Qualifications

  • High school diploma or equivalent high school certification.
  • Three to five years’ experience in an administrative position required, or combination of education and experience equaling seven years.

Salary Range
$44,700.00 - $73,800.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
