Job Description

The Graduate College at Arizona State University is looking for a flexible, detail oriented, highly organized and customer-service focused Graduate Format and Curriculum Advisor. Under general direction, this position performs a variety of tasks for the review of submitted final graduate student documents in preparation for graduation to ensure consistency with established ASU format standards, as well as tasks related to the graduate section of the ASU academic catalog and graduate curriculum/program development. This position also serves as back-up for the Specialist for Academic Affairs and Curriculum for satisfactory progress and graduate faculty related duties.
Business hours for the Graduate College are Monday - Friday, 8:00 a.m. - 5:00 p.m.

Salary Range

$32,781 - $41,000 per year; DOE


Essential Duties

  • Acts as a liaison on behalf of the Graduate College, monitoring and responding to a high volume of inquiries from students, faculty, advisors and outside entities. Provides guidance in curriculum and format
  • Provides guidance and refers students to format guidelines and manual to assist in identifying areas for correction to ensure documents are revised accordingly via phone, email and in person
  • Performs reviews of submitted thesis and dissertation documents against established guideline requirements
  • Reviews and compares thesis and dissertation documents in ProQuest upon submittal for publication to ensure all versions match. Responsible for checking ProQuest student data entry for accuracy, including embargo submissions
  • Provides administrative support such as assisting in the archival of curriculum items, responding to unit inquiries, preparing materials for meetings/presentations, assisting in curriculum/special project research, etc. for the Curriculum and Program Development area 
  • Verifies scheduling of student's defense to ensure completion of all requirements prior to graduation
  • Prepares and delivers format workshops, presentations, training materials and videos 
  • Responsible for semesterly submissions of the National Science Foundation Survey of Earned Doctorates (SED) on behalf of the Graduate College, ensuring accuracy and reviews spreadsheets for any missing information
  • Drafts format and defense results communication to be sent to students and staff
  • Drafts Graduate Insider newsletter articles and blog post submissions for the format area
  • Works with the Graduate College Communications Team to create, edit, publish and communicate format deadline and defense results information to students, staff and faculty 
  • Responsible for overseeing, the updating and the creation Graduate College AdobeSign forms related to the format area
  • Performs initial review of curriculum proposals to ensure compliance with established standards, and checks submitted supporting documents from related units to verify agreements; refers them to Program Coordinator Senior upon completion of review
  • Maintains and tracks proposals received for graduate curriculum development
  • Reviews petitions for exceptions or changes to submitted thesis and dissertation documents or deadline extension to determine validity of request; refers request to appropriate unit academic advisor for closure
  • Assists in the review of new courses and course change requests to ensure syllabus meets requirements, titles match, different categories are correctly identified and reviews justification for change to ensure ongoing integrity of degree and program
  • Assists in the updating of the graduate portion of the academic catalog
  • Maintains student records in student databases (also the ASU Digital Repository/ProQuest), creates and provides reports. Provides contact point for enrolled student information
  • May assign tasks to student worker
  • Serves as back-up for the Specialist for Academic Affairs and Curriculum for satisfactory progress and graduate faculty related duties
  • All other duties as assigned

Minimum Qualifications

Bachelor’s degree in English or similar and one (1) year experience in a related field OR, any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.

  • Experience working effectively in an environment subject to tight deadlines and quickly changing priorities

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to walk or travel moderate distances to perform work. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. May be required to perform tasks in the field within and/or across University campuses. Ability to clearly communicate to perform essential functions.
