JOB SUMMARY

The primary function of this position is to advise and provide administrative support to the School of Business prospective and current advanced degree and continuing education students from inquiry to student identified professional goal (e.g., certificate completion, degree completion, etc.) and to support the department related to servicing students.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Admissions and on-boarding of new students

  • Collaborate with Graduate Program Directors in the development and implementation of Graduate Student Orientation for applicable programs each semester.
  • Track, report and provide analysis of graduate student admission and enrollment data to HSB leadership team.
  • Attend information sessions and follow-up with prospective students in attendance and those who did not attend.

Student Advising

  • Advise students in short term and long term academic program planning, including advising students concerning degree requirements, course planning and intent to graduate.
  • Monitor and advise graduate students regarding academic progress, including probation, suspension, leave of absence and degree completion.
  • Assist and guide students regarding use of the student information systems, including online registration, holds, permissions and restrictions.
  • Advise graduate students regarding academic issues, including withdrawals, petitions and appeals.
  • Collaborate with the director on new initiatives for graduate students, including advising services and retention efforts.
  • Respond to phone, email and walk in inquiries from prospective and current students. Provide requested information; investigate and resolve issues and as needed refer to HSB graduate program directors, department chairs, deans, Graduate Admissions, or Counseling and Health Services or additional support staff as appropriate.
  • Lead communication with graduate students regarding course offerings, onboarding efforts, registration, commencement and other applicable opportunities.
  • Verify completion of degree requirements.

Program Administration

  • Generate data, analytics and reports regarding graduate student enrollment and retention.
  • Participate in the planning and implementation of commencement in May.  Provide student lists and edit the HSB portion of the commencement program for graduate students, provide and monitor graduation reports and participate in day-of commencement activities. Respond to graduate student questions regarding commencement.
  • Act as key contact between Graduate Advising and university student service offices (including but not limited to Graduate Admissions, Student Administrative Services, Global Engagement Center, Disability Resources and Academic Affairs) for graduate student needs.
  • Consult regularly with program directors regarding all aspects of orientation, academic advising and other communication for HSB graduate programs.
  • Develop and maintain forms and processes to be used by program staff and students. Assist in developing and implementing policies and procedures to serve the program’s and students’ needs.

Additional Responsibilities

  • Be familiar with and comply with various state and federal regulations, including but not limited to the Family Educational Rights and Privacy Act (FERPA), the Higher Education Opportunity Act (HEOA), the Fair and Accurate Credit Transactions Act (FACTA) and Title IX.
  • Exercise best practices with regard to the maintenance of confidential student information, reporting college costs, graduation data, other consumer information and emergency procedures and fire safety reports.
  • All other duties as requested.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND KEY COMPETENCIES

  • Knowledge regarding best practices surrounding student success, admissions, and academic advising. 
  • Ability to research and develop scholarship-based approaches to Hamline’s academic practices and policies.
  • Understanding and awareness of changing developments in the education of the adult learner population.
  • Ability to communicate clearly and concisely, conveying complex academic information in a manner that others can understand, as well as the ability to understand and interpret complex information from others.
  • Demonstrates ability to take initiative and work independently.
  • Excellent organizational skills with the ability to organize and manage multiple projects and tasks and work under deadlines.
  • Ability to identify activities and tasks that will further the school’s goals, obtain support and complete the activity in a timely manner.
  • Ability to work with a diverse group of students, staff and faculty.
  • Proficient in Google and Microsoft Suites.

MINIMUM EDUCATION/EXPERIENCE/EXPECTATIONS

  • Bachelor’s degree from an accredited college or university.
  • One (1) year professional experience in higher education.

PREFERRED EDUCATION

  • Master’s degree in higher education administration, business, counseling, human development or related from an accredited college or university.
  • Two (2) years professional experience working with graduate level students.
  • Experience in advising in a higher education setting.

WORKING CONDITIONS / EQUIPMENT

Must perform the following essential functions with or without a reasonable accommodation:

  • Ability to travel to on and off campus locations.
  • Must be able to work on a computer for extended periods of time.

ADDITIONAL INFORMATION

  • This position reports to the Director of Graduate Advising and Success.
  • This position is a part time (.5  FTE- 20 hours per week) non-exempt position.
  • Occasional evening and weekend work may be required.
