Summary:

The Graduate and Doctoral Student Advisor in the College of Education and Human Development (CEHD) Graduate Affairs Office is the primary advisor for all assigned students in their caseload, taking responsibility for providing each student with degree requirements and an academic plan, conducting semesterly outreach with personalized course recommendations, supporting timely registration degree completion, auditing records of assigned students and conducting program-wide audits for faculty program coordinators, completing graduation audits, liaising with faculty advisors and academic programs, and providing faculty and administrators with insight into academic barriers, opportunities, and implications of established policies and processes.  The incumbent manages the departmental inbox, answering inquiries in a timely manner and triaging to other units as necessary.

The incumbent supports the successful transition of newly admitted students, collaborating with Enrollment Management (EM) to create a seamless student experience and to support EM yield goals.  The incumbent oversees the college’s graduate student orientation and other events and outreach for incoming graduate/doctoral students and plans and executes group advising/workshop events to support student success.  The incumbent advises students about academic requirements and registration, providing accurate and thorough information about resources, policies, and processes. The incumbent collaborates with faculty advisors and other stakeholders to identify student needs and continuously improve advising offerings.

The incumbent is the graduate advisor assigned to manage the administrative processes related to all doctoral students: monitoring student progress, advising students on dissertation-related deadlines and processes, ensuring timely submission of forms, maintaining accurate documentation related to doctoral students, and providing academic programs and college administration with related data and information.

 The incumbent also informs faculty advisors on the processes that affect the successful completion of doctoral degrees, including deadlines and forms associated with advanced standing and transfer credit, preliminary exams, proposal defense and elevation to candidacy, dissertation defense, and graduation requirements. The incumbent has regular communication with both college and Graduate School staff and administrators in support of doctoral student progress and completion of degree.

The incumbent supports the college’s +1 programs, advising students about graduate courses and facilitating a smooth transition from the undergraduate degree to the +1 graduate year.  Maintains documentation, liaises with faculty coordinators, tracks progress of students and completes audits, and submits documents and forms required by the university.  As part of a team, executes orientations and info sessions for prospective, new, and graduating +1 students. This Advisor may also occasionally interact with undergraduate students regarding +1 and traditional graduate degree options.

The incumbent creates content for three administrative Canvas courses for graduate students, doctoral students, and students at Church Teacher’s College in Jamaica, with primary management responsibility of the doctoral student course; ensures that these courses offer current and accurate information about relevant policies, processes, deadlines, and resources that support student persistence and success.  The incumbent works collaboratively to ensure currency of the graduate student handbooks; directs the annual review and updating of the handbooks.  Identifies information necessary to student persistence and success, creating announcements and/or newsletter content.  

The incumbent will provide solution-focused advising and service to students and colleagues.   The Graduate Student Advisor will liaise with faculty, departments, deans, and university administrators, communicating with professionalism and maintaining discretion; the advisor will communicate in a timely, thorough, and professional manner; ensures accuracy and thoroughness in student record-keeping.

The Graduate and Doctoral Student Advisor in the College of Education and Human Development Graduate Affairs Office. Provides high quality academic advising to all students assigned in caseload; advises all college graduate/doctoral level students at times of need.. Ensures all assigned students are provided with their degree requirements and creates an academic plan for all assigned advisees, recommending an appropriate academic schedule and plan that supports timely degree completion. Conducts semesterly outreach to all assigned students with course recommendations and advises on academic standing, as applicable. Maintains accurate internal student recordkeeping and documentation of student contacts using university and college systems. Tracks student persistence and progress. Monitors doctoral student progress, acting as primary point of contact for doctoral level students completing their dissertation writing and defense, meeting with students, providing them with university and college resources, dissertation-related deadlines and processes, and timely submission of forms.

Maintains accurate tracking of doctoral students as well as their committee members and chairs. Provides tracking data to faculty and leadership as requested.  Executes degree audits of all doctoral students to ensure accurate completion of coursework. Advises students regarding policies and procedures, and course registrations and related issues. Creates and updates curriculum sheets that are aligned with Board of Trustees-approved certificate/degree requirements.

Directs the college’s orientation and other incoming graduate/doctoral student events. Responsible for completion and timely submission of student petitions and forms. Oversees the graduate/doctoral student communications platforms and ensures students receive accurate and timely information related to advising and student success/support events; manages the doctoral student Canvas site; oversees the CEHD Graduate Student Handbook ensuring currency and accuracy.

Implements student-facing services that support success; acts as an advocate and referral source. Contributes to the unit’s annual assessment report, providing data and information. Supports the accelerated +1 programs: assisting with recruitment, facilitating information sessions, tracking students, registering students, and completing university mandated forms.

Assists students in program selection to meet career, academic, and personal goals. Knows and communicates Pennsylvania Department of Education policy and testing requirements. Supports the mission, policies and procedures and academic goals of the College and Temple University and the goals of the Gradate Affairs Office. Performs other duties as assigned.

Required Education & Experience:

Relevant Master's degree with at least two years of post-degree professional advising experience in higher education.  Closely comparable education and experience may be considered.

*Knowledge and use of personal computers and proficiency in student records systems as well as software and programs that increase efficiencies

 

Preferred:

*Advising work experience with graduate students is preferred.
