Job Description Summary

This position reports directly to the Associate Director of Gifts Accounting, Administration and Records and ensures GAA&R provides timely, accurate, and courteous service to DAR staff and members of the Penn community. The Gift and Record Administrator will handle data projects and oversees multiple data systems used to update and maintain data integrity in DAR’s constituent database of alumni and friends.

Job Description

Case Management - in cooperation with other team members, review, manage and oversee daily requests; review and process batches of data for various file feeds including MyPenn, Online Giving, U.S. Postal Service National Change of Address updates, survey data, and other update projects via the Batch Review and Import Tool (BRIT). Review data for consistency, format, and accuracy. Look for systematic and human errors and work with the Associate Director to enhance data integrity processes. 

Creates and/or modifies records in Compass, the database of record for Development and Alumni Relations. Create new records as needed for bank wires and Automated Clearing House (ACH).

Responsible for all Development and Alumni Relations mail for the FMC building; includes proper distribution of mail to staff and units, includes proper identification of units on all mailboxes, and handles the coordination of all outgoing and incoming mail from various entities such as Penn Mail Service and USPS. Handles returned mail, includes timely and accurate data analysis and updating profiles with the utmost attention to detail.

Assists both DAR staff and alumni with accessing and using MyPenn, the directory for Penn alumni. Provides customer service and helps troubleshoot issues for alumni by working closely with various Penn personnel including the University Registrar, Information Systems and Computing (ISC), Wharton Computing and External Affairs, and internal staff. This responsibility requires significant external client interactions with alumni, donors, and volunteers.

Assists with routine daily responsibilities of DAR Records. Assists with special projects as determined necessary through data analysis or quality control reports. Creates and/or modifies records in Compass.

Assists with testing and implementing enhancement projects for Compass and creating and updating procedures and policies.

Works closely with Gifts Accounting & Administration and performs gift processing during peak periods.

Answers phones and provides excellent customer service; requires significant external client interactions with alumni, donors, and volunteers.

Must be punctual, demonstrates initiative, works collaboratively and with self-accountability. Must provide excellent customer service.

This position is required to work during Winter Break and Alumni Weekend. Assistance with Homecoming is optional. 

The work hours are Monday – Friday 9:00 a.m. to 5:00 p.m.

Qualifications:

High School diploma and 3-5 years of experience in related functions or equivalent combination of education and experience required, preferably in advancement, development, or alumni relations.

Ability to communicate effectively and professionally, both verbally and in writing. Ability to handle confidential information appropriately. Highly organized and detail-oriented with high level of initiative, commitment to follow through, and willingness to assume responsibility. Demonstrated ability to manage and prioritize projects in a timely, effective manner. Ability to handle high volumes of work. Detail-oriented; self-starter. Ability to work effectively as part of a team and encourage others to collaborate. Enthusiasm for providing the highest level of service. Must demonstrate the ability to provide excellent customer service to a diverse group of alumni, development officers, and other professionals. Must be able to manage multiple daily tasks while working quickly, accurately, and independently. 

Demonstrated ability with Microsoft Office 365 Suite including Word, Excel, Outlook, and PowerPoint. Comfortable using remote work platforms such as Microsoft Teams and Zoom. Experience with relational databases and functionality, as well as Salesforce and LexisNexis, preferred.

Ability to staff events as needed.
