Job Description:

Position Statement: The Graduate Assistant for Housing Operations is a paraprofessional within the Department of Housing & Residential Services. The position will provide support, coordination and leadership in the following areas: assignments, billing, facilities, summer conferences and information technology. The position will also lead programming and coordinate educational modules for sustainability initiatives, inspection processes and fire, health and safety. The position will also provide support, coordination and leadership in the following areas: summer conferences, internship housing, and guest/short-term housing. The position will research opportunities to increase the supplemental bed stay revenue. The position will review/edit for approval agreements for all categories of supplemental bed stays. The position will also coordinate all changes for the website and social media, assignments, billing, facilities and information technology. The position will also coordinate presentations and physical material for distribution to support conference and guest services. The position will support crisis intervention to support the residential experience. The position will support all departmental training and in-services when applicable.

Supervisor: Associate Director for Housing & Residential Services

Collateral Assignment: The department reserves the right to change the collateral after one academic year if necessary for the best interest of the operations.

Room/Board: Room and board is a condition of employment. The role is a live-in position.

General Duties & Responsibilities:

1. Assignments & Billing

     i. Supports room changes including singles waitlist, premium single requests, apartment pull in process and coordinates with the Resident Directors and Area Directors for room changes.

     ii. Maintains the Disability Services housing approval list.

     iii. Performs building sweeps and coordinate room inventories prior to and at the conclusion of the academic year to ensure readiness for move in.

     iv. Supports opening the residence hall in the fall and after breaks, and for hall closings prior to breaks and the end of the academic year.

2. Facilities

     i. Responsible for key management including: distribution and collection of keys, key inventory, and audit.

     ii. Forwards and follows-up with work order requests, and is responsible for being familiar with issues and concerns.

     iii. Supports the coordination of announced and unannounced fire drills.

     iv. Supports implementation of Health & Safety inspections.

     v. Create sustainability & fire, health and safety programming/curriculum within the residence halls.

     vi. Attend departmental construction meetings in collaboration with supervisor.

     vii. Assists with the implementation of the damage billing process for the department.

     viii. Perform weekly walk-throughs of all residential areas.

3. Technology

     i. Utilize proficiently departmental and university software, i.e. BANNER, The Housing Director, Maxient, SchoolDude, ID Credential/BASIS, Area Access Manager, KeyWatcher.

     ii. Supports creating, implementing and maintaining the Housing Director Mobile site access for student staff.

4. Student Staff Development

     i. Serve as a mentor to student staff reporting within Housing Operations.

     ii. Conduct bi-weekly one-hour full staff meetings with identified student staff

     iii. Conduct bi-weekly 15-minute one-on-ones with student staff

     iv. Conduct training for all identified student staff, including but not limited to the start of each semester, in-services and retreats.

     v. Update each respective student staff manual as needed

     vi. Document and report student staff's development and areas of growth with respective supervisor

5. Conference/Guest Services Support

     i. Support the off-campus housing program.

     ii. Support cultivating new clients for conference opportunities.

     iii. Lead/Coordinate all check-ins and check-outs for clients.

     iv. Coordinate/conduct building walk-throughs.

     v. Verify and update Summer Conference Housing Request Form

     vi. Create, maintain appropriate forms and documents on the website for conference and parking services.

     vii. Follow-up with Clients for all payments not received after 45 days.

     viii. Administer client service questionnaire.

     ix. Support all short-term and emergency housing requests. Maintain emergency housing supply kits.

     x. Support and assist with conferences, drive-ins, retreats and workshops hosted by the department.

6. On-Call/Emergency Response

     i. Serves as a resource person, referral agent and advises students regarding personal, educational, behavioral, and residence hall concerns. GA counsels students within the realms of training and refers students to appropriate campus services as needed.

     ii. Participate in rotating on-campus duty responsibilities including weekends/weeknights.

7. Support department assessment, benchmarking and reporting needs.

8. Support department professional development initiatives.

9. Participates in marketing efforts put forth by the department, which may include participation in Admission Office Open Houses or committee work.

10. Attend and/or provide information for conduct meetings when required.

11. Serve as instructor for student conduct workshops

12. Attends and participates in regularly scheduled staff meetings.

13. Other duties as assigned. 


Requirements:

Undergraduate degree must be awarded before the start date of the position.  Students that have not yet earned their degree must have senior status and be on-track to graduate and receive their degree prior to the start date of the position. Must not be enrolled in more than 6 credit hours each semester without prior approval. GA must seek approval to take non-GE/daytime undergrad classes.

Start Date: August 4, 2024

End Date: May 24, 2025

Additional Information:

Compensation and Benefits:

1. Stipend: Not to exceed $12,000.00.

2. Waiver: 15 class credit an academic year (tuition and fees).

3. A furnished on-campus apartment (room). Room and board is a condition of employment. The role is a live-in position. 

4. A meal plan when the dining hall is open (board).

5. Housing is not offered during the summer months (June and July).

     a. GA does not have to remove personal belongings from the space during this time frame if continuing in position.

     b. GA may speak to the supervisor about options to reside in housing assignment during this period. Review will continue until the position is filled.
