Job Summary

Provides administrative support to the Faculty & Staff Assistance Program (FSAP). Applies organization policies and procedures to oversee a variety of ongoing administrative operational initiatives. Analyzes and resolves operational problems of moderate scope

This position will serve as an onsite primary receptionist and back up scheduling coordinator for the EAP unit: provide case filing and data processing/entry for client files; assume responsibility for all mail, fax and delivery errands on campus or other sites as requested; ensure that the unit runs smoothly (maintaining supplies, equipment, and facility); triage client calls to appropriate officer or unit within the University; handle highly confidential matters with discretion and judgment; independently interact with other authorities in emergency and crisis situations; develop and maintain units' client and consult databases and website; design and generate quarterly and annual statistical reports, including trend and problem area analyses; process and maintain University accounting records and forms, including travel and purchase requests; act as liaison to department financial analyst to insure proper budget controls; coordinate special projects as assigned with both internal and external organizations and vendors; compose, type and edit correspondence, meeting notes, reports, presentations and spreadsheets as requested by unite director and TMT lead; process and direct confidential and sensitive information as it pertains to the program and department; provide logistical support for GME fellow and staff onboarding; and perform other duties as assigned.

The Faculty and Staff Assistance Program (FSAP) at University of California, San Francisco (UCSF) provides therapeutic services to a dynamic and diverse, adult population. We are staffed by licensed psychologists and postdoctoral fellows. As an employee assistance program, we address a broad and complex body of personal and work-related issues that impact mental and emotional well-being, such as job performance, burnout, interpersonal issues, alcohol and other substance abuse, stress, grief, family problems, and psychological disorders. We also work in a consultative role with leadership to address employee and organizational challenges and needs. Our department is active in helping the UCSF community prevent and cope with workplace violence, trauma, and other emergency response situations.

The final salary and offer components are subject to additional approvals based on UC policy.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Required Qualifications

•    High school diploma/GED
•    2+ years of related experience.
•    Experience providing administrative support, including managing complex scheduling, for 8 or more people simultaneously.
•    Prior work experience handling confidential information with discretion and tact.
•    Demonstrated proficiency in Microsoft Office (including Word, Excel, PowerPoint, Outlook, Access, and OneDrive), electronic medical record and database programs (such as Premier and i-Sight), Box, and other online software programs (such as DocuSign, Survey Monkey, and Qualtrics)
•    Demonstrated work processing skills of 45-60 WPM.
•    Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
•    Skills, knowledge, and abilities to perform the above outlined job duties in a fast-paced environment.
•    Solid organizational skills and ability to multi-task with demanding timeframes.
•    Ability to use discretion and maintain confidentiality.
•    Ability to multi-task, prioritize well, use multiple resources to resolve questions and problems.
•    Excellent organizational skills and ability to track and meet deadlines.
•    Ability to work effectively under pressure with competing priorities.
•    Ability to use sound judgement in making independent decisions; use analytical skills to comprehend, organize and present complex data, perform trend analyses and other statistical procedures.
•    Ability to work independently as a member of a team.
•    Proven record of reliability and attendance.
•    This position requires flexibility to orient and work at all UCSF Medical Center locations.
•    Onsite 3-5 days a week.


Preferred Qualifications

•    Bachelor's degree in psychology or related field and /or equivalent experience/training.
