Position Summary:

Rowan University seeks a Scholarship Coordinator to manage and administer the Rowan University Foundation’s extensive portfolio of scholarship funds. Directly reporting to the Director of Advancement Administration and Rowan University Foundation Administrator, the Scholarship Coordinator will be the primary point of contact for all internal and external scholarship-related inquiries and serve as a trusted liaison between scholarship donors and the students they support. This professional will work closely with Stewardship and Donor Relations, Special Events, Development, Foundation Administration, Advancement Services, Accounting Services, Corporate Foundation Relations, the Office of Bursar, and Financial Aid teams to identify opportunities for growth and excellence while improving the donor and award recipient experience.

Responsibilities:

  • Implement and promote the Foundation’s annual scholarship application process.
  • In collaboration with the Office of Financial Aid, recruit and train scholarship selection committee members.
  • Facilitate and oversee the scholarship selection committees’ responsibilities, assuring regulatory compliance, eligibility requirements, and policy.
  • Serve as the primary point of contact for all internal and external communications with students, parents, college Deans, faculty, and other college representatives.
  • Maintain the Foundation’s scholarship software (Scholarship Universe).
  • Establish new scholarship funds to ensure donor intent, accurate fund accounting, and journaling.
  • Work with the Foundation’s Corporate Foundation Relations team to ensure the accuracy and timeliness of scholarship grant distributions.
  • Work with Accounting Services and Foundation Administration teams to complete Foundation fund/budget transfers, reimbursements, and non-po payments accurately and in a timely manner (on a daily, monthly, quarterly, annual, or as-needed basis).
  • In collaboration with the Office of Financial Aid and Bursar, maintain accurate scholarship billing files, completing and submitting Foundation scholarship billing reports to Finance with sufficient documentation; supply scholarship information to external stakeholders as requested. 
  • Serve as a primary gift reviewer for daily gifts and commitments.
  • Stay current with trends, best practices, and other regulations related to scholarship administration.
  • Create awareness of the scholarship program with potential donors, prospective recipients, and the broader community.
  • Evaluate the scholarship program on an annual basis to assess its effectiveness, efficiency, and consistent fund awarding and participate in the annual strategic planning process with University Advancement Administration.
  • Other projects as assigned to improve the Foundation’s donor and award recipient experience.
  • Other duties as assigned.

Knowledge, Skills & Talent:

  • Effective oral and written communication skills to interact with a broad spectrum of constituencies, including donors, community leaders, nonprofit/education representatives, Foundation Board members, Rowan University leadership, staff members, volunteers, and scholarship recipients.
  • Strong customer service skills with demonstrated ability to build and steward relationships with people from diverse backgrounds.
  • Excellent analytical, administrative, computer, and problem-solving skills.
  • Ability to communicate complex information in a clear manner to a variety of audiences.
  • Strong organizational skills and attention to detail and accuracy required.
  • Proficient computer skills, particularly word processing, spreadsheets, and database management. Experience with web-based software used to manage program applications is a plus.
  • Ability to complete multiple assignments within provided time constraints with minimal supervision.
  • Self-starter who works well independently but who also thrives in a team environment, sharing ideas and working collaboratively.

 Qualifications and Experience:

Required:

  • Possession of a bachelor's degree from an accredited college or university; and two (2) years of the above-mentioned professional experience. OR
  • Possession of a master's degree; and one (1) year of the above-mentioned professional experience. OR
  • Six (6) years of professional experience in different aspects of administration and business practices; including design and implementation of policy and procedures, vendor service contracts and improving and updating management practices. 
  • A minimum of five (5) years of hands-on experience in managing and leading projects in a fast-paced organizational setting.
  • A high degree of integrity; ability to work in a sensitive, highly confidential, and professional environment.
  • Demonstrated experience with program development and management.
  • Strong understanding of fundraising, donor stewardship, scholarship administration and compliance with relevant laws and regulations.
  • Understanding of and appreciation for the institutional culture and shared goals and vision of the University.
  • Demonstrated ability to work effectively on multifunctional teams; ability to work on multiple projects and meet tight deadlines; and ability to work effectively with large, diverse groups of clients to meet their information needs.
  • Experience with development/fundraising concepts and techniques.
  • A customer-service and detail-oriented perspective.

Preferred:

  • A college degree with five (5) or more years of progressively responsible work experience is preferred. Professional experience in fundraising operations and in a higher education or non-profit environment is preferred.
  • A master's degree in a relevant field such as business administration, nonprofit management, higher education administration, or a related discipline.
  • Experience in an academic fundraising environment and familiarity with the Abila Millennium or other comparable fundraising CRM. Proficiency with Ellucian Banner.
  • Experience in leading and managing change within a team or department, displaying adaptability and resilience in a dynamic and evolving higher education landscape.

Salary:

  • Range P21 ($60,062 - $68,385)
  • Rowan University offers a competitive compensation and benefits package, including tuition remission for qualified employees.

This is a full-time Monday-Friday position. The salary is competitive and commensurate with experience and qualifications. Determinations regarding this position’s potential flexible work options will be considered in adherence to applicable policies and subject to approval by Human Resources.
