The Opportunity: 

The Flight Records Registrar and Lead Analyst is responsible for the daily coordination of work assignments for one full-time Flight Data Analyst. In addition, this position evaluates & maintains all documents relating to student flight records; ensures all University standards and FAA requirements set forth in FAR Part 141 have been met for approximately 1000 unique flight student registrations annually; is responsible for TSA compliance and reports for international students, certified pilot records requests, foreign pilot verifications, student pilot document check verification and reporting, as well as the training of new data analysts and student employees. In addition, this position pre-screens students enrolled in the Summer Academy program and coordinates with the Director of K-12 Education Outreach to ensure that TSA and flight document requirements are met. 

Essential job functions and duties include:

  • 40% - Provide oversight to one FT Flight Data Analysts.  Provide daily customer service to the Chief and Assistant Chief Flight Instructor, Training Managers, Flight Scheduling, Instructor Pilots, various university staff and students.  Effectively utilize the Imaging system, ACRA, IACRA, ETA flight systems and various Excel and Access data bases to accurately record and disseminate information and reports.  Conduct one-on–one meeting with students and instructors for completion of FAA 8710 applications.
  • 40% Verification of student legal names and all course completion documents in order to produce FAA 8710 applications, temporary certificates, and graduation certificates. The organization of all additional course completion materials for the Chief Flight Instructor, Airman Certification Representatives, and Training Course Evaluators which includes CC form, SP detail(s), Flight Data & Certification worksheet, Ground school attendance & test grades, FAA written test, medical certificate, superseded pilot certificate, acceptable picture identification, grade computation, and various additional documentation as applicable such as visa’s,  I-20 form, FAA AFS-760-Letter-03 for verification of foreign license, transfer credit, Part 142 re-enrollment form, and ground training status form. 
  • 20% Ensure the direct daily service to faculty, staff, and students in support of their varied needs for information, effectively utilizing the Flight Data & Certification optical imaging system to accurately record and disseminate information/reports.

Other duties provided by the Lead Analyst include:

  • Preparation of FAA Temporary Certificates for Emergency Field Issuance, Dispatch, and ATP
  • Verification and /or correction or status of Pilot Certificates and Medicals with the FAA
  •  Recurrent Safety Training expirations
  •  Preparation of letters and flight course transcripts for the purpose of Airline employment    
  • FAA letters of Verification & Authenticity of Foreign Pilot Certificates
  • Training of new analysts and student assistants
  • Process Records requests, Foreign Pilot Verifications, and maintain the document check report to ensure proper documentation is on file for each student.
  • Ensure that TSA requirements for the department are adhered to.
  • Notary for the Flight Department                
  •  Coordinate pre-screening registration and records for Summer Academy students.
  • Coordinates new flight student orientation for each semester. (Large undertaking)
  • Complete FAA applications for certification of student pilot, ground instructor, special topic courses, flight instructor renewal, name corrections, and citizenship corrections


Qualifications

  • High school (or GED) level ability in spelling, grammar, basic composition, and math.
  • Analytical skills with an working knowledge of Microsoft Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications necessary.
